Provide a fully comprehensive administration service to function teams at all levels to enable successful delivery of the team's priorities.
Principal Accountabilities
- Prepare and take minutes, tracking actions on behalf of Senior Managers, team members, steering committees and governance groups. Monitor and report on various functional databases/other applications and reporting formats
- Support the team in preparing documentation such as PowerPoint presentations, Excel spreadsheets, organisation charts through the use of Microsoft Visio/other applications
- Organise meetings and events, preparing agendas, collating and circulating documents in a timely manner
- Develop and maintain effective and efficient admin systems including document control, archiving and shared files. Continuous improvement approach for all duties and activities
- Raise and receipt Purchase Orders on behalf of the Company where appropriate. Be able to show others how to use the system and be conversant with the company policies as applicable
- Proactively undertake other ad hoc activities to support the colleagues to deliver team objectives
- Liaise with third party Suppliers/Contacts in the delivery of functional requirements
Qualifications and Experience
- Proven ability on business software applications (Microsoft Suite)
- Ability to prioritise a demanding workload and changing deliverables
- High level of customer focus and service
- Excellent organisational skills and a proven ability to work under pressure to meet tight deadlines
- Responsive to organisation changes and ability to adapt accordingly
