The Role:-- Performing all administrative & secretarial duties for a team of 4 in the Facilities Management Team
- Managing and maintaining a busy outlook and paper diary, prioritising appointments and arranging complex meetings with high-level internal and external contacts including suppliers and contractors
- Efficiently dealing with incoming post and e-mails, filtering, delegating and actioning as appropriate and assigning priorities
- Typing correspondence, reports and other confidential documents
- Managing agenda's for meetings and taking minutes
- Fielding all telephone calls to the team
- Dealing with visitors of all levels of seniority
- Preparing presentations
- Making travel/accommodation arrangements and preparing extensively detailed directions and itineraries
