Office support/ Team PA/ Deputy to the Chief Executive’s PA
Reporting to the Chief Executive’s PA and deputising for her. This role provides support to the allocated teams.
This role will require the individual to be on-site five days per week. PA/Office support – deputising to the Chief Executives PA, including support teams throughout the company, Asset Management, Finance Team, Investor Relations, Compliance Officer, Chief Operating Officer. The role is varied on a day-to-day basis and encompasses, but is not limited to, the following duties:
- Working closely with Chief Executive PA on a day-to-day basis
- Organising events such as the summer and Christmas Party
- Diary Management, organising larger meetings
- Typing and formatting documents and letters
- Assisting the wider team with Microsoft Word/PowerPoint formatting help as required
- Updating and formatting various Excel spreadsheets
- Arranging travel as required
- Allocating and processing invoices for Asset Management and Accounts Teams and keeping all systems up to date
- Asset Management Team Administration, particularly preparing and submitting recommendation proformas to Jersey and other external parties.
- Creating and sending email and physical letters, invoices, capital calls/investor reports etc
- Assisting Acquisition Team with the Intro System if required
- Assisting Investor Relations with maintenance of the Investor Contact Database/ Investor
- Target list/ Salesforce database
- Arranging Fundraising and Conference Travel as necessary
- Formatting documents including investor roadshow pitchbooks and binding as required.
- Co-ordinating physical document signing
- Ensuring project level queries are dealt with or escalated as appropriate.
- Arranging couriers if required
- Answering the main line telephone and transferring calls
- Opening, processing, and distributing post; taking parcels to the Post Office as required
- Greeting guests and liaising with kitchen staff
- Provide holiday/sick cover for Chief Executive’s PA and other secretarial staff as required.
- Fire Marshal & First Aid
Working format: 5 days per week in office
