Our client is an established company based in Chipping Warden. Due to impressive growth, they are now looking to acquire the services of an Operations Controller to work within their team. This role will involve overseeing client contracts and all aspects of fleet management. The ideal candidate would be someone who has had previous experience working in a project management role and experience dealing with account management.

Please Note: this is a temporary role with the potential to go permanent after 12 weeks for the right candidate. Due to the location of the role, you would need your form of transport.

Main Responsibilities

  • Establish and maintain excellent working relationships with your clients.
  • Manage the customer’s future planned activities including any storage requirements to ensure the business is resourced sufficiently and has the right level of capacity on site.
  • Be the conduit between your client and the head office operational team.
  • Attend client premises regularly together with TEAM’s call communications where the client prefers.
  • Fleet management control; including in-fleeting and de-fleeting.
  • Work in collaboration with the Technical Services Department to ensure the targets for in-fleeting and de-fleeting are understood and achieved.
  • Own and manage all activities by maintaining an account activity tracker.
  • Manage forecast data with client versus spend and ensure POs are always in place.
  • Support Finance to pre-check monthly pre-invoices for accuracy/anomalies, ensure all budget holders approve pre-invoice data every month in line with internal deadlines and where required chase through any overdue invoice payments.
  • Conduct client BI reporting at agreed intervals, including mileage target vs actuals, new business vs targets, KPIs, SLAs and CSI levels, plus any other pre-agreed reports.
  • Analyse KPIs, SLA and CSI levels, ensuring contractual levels are maintained/exceeded, taking any immediate action to increase performance where required.
  • Investigate and understand peaks troughs, and environmental conditions that may affect the plan. Identify future fluctuations and feed into forecasting business reports.
  • Conduct customer meetings following a structured agenda of key topics, and ensure a branded presentation is created and prepared in advance of any formal meeting.
  • Prepare for and participate in ad hoc team meetings with Senior Management with input on new opportunities with current customers, track of customer performance vs plan, barriers/risks and good news stories.
  • Understand ad hoc special events that may include the retailer network, and ensure the scope of work is fulfilled to a successful conclusion by managing the entire process from request to go live.
  • Where required, set up and train new users on the platforms.
  • Carry out professional and confident presentations to clients and the internal senior management team, as required.
  • Support with any escalated Customer or Client issues.
  • Always professionally represent the Company.
  • Carry out other duties, which may from time to time be reasonably required.

Key Skills

  • Previous experience in an Account Management and Project management role.
  • Good level of industry knowledge and awareness.
  • High standard of PC literacy, including all Microsoft packages.
  • Excellent communication skills, both written and oral, to all levels, both internally and externally.
  • First-class customer service skills.
  • Excellent attention to detail.
  • Problem Solving.
  • Ability to work effectively under pressure and tight deadlines.
  • Organised and Proactive.
  • An enthusiastic and positive approach.
  • Self-starter, who is proactive, positive, dynamic and assertive and has a flexible attitude to work.

Additional Information

  • This is a temporary role with the potential to go permanent for the right candidate.
  • The working hours are 9 am – 5.30 pm.
