Purpose & Overall Relevance for the Organisation:

Adidas Workplaces creates and operates inspiring, sustainable environments that enables productivity & connection for adidas employee around the world in offices, showrooms and Distribution Centres for adidas.
Part of the Workplace function is Facility Management, with the purpose to provide safe, clean and compliant workplaces for adidas employees and consumers to visit.

The purpose of this role is to take care of Workplace and Facility Management services and to provide support to our Facility Management and Health, Safety Energy and Environment Team.

Key Responsibilities:
  • Steer, coordinate and provide administrative support to the teams.
  • Steer assigned services, taking into account business and safety objectives.
  • Provide administrative support to the wider UK Workplaces and H&S teams.
  • Purchase order creation and invoice processing where applicable.
  • Adhere to standards, applicable regulations and ensure quality assurance of assigned service areas.
  • Ownership of Workplaces SharePoint sites, keeping the site up to date and informative plus relevant reporting systems.
  • Provide support to Workplaces leads with contract management and auditing requirements.
  • Management of Workplaces skills matrix and coordination of training plans.
  • Report and monitor necessary documentation in accordance with applicable law and business requirements, including but not limited to;

  • Business Continuity plans
  • Fleet
  • Site occupancy performance
  • Health and Safety documentation

  • Interface between adidas and external Workplace services provider.

  • All local adidas departments
  • Health and Safety team
  • Crisis Management lead
  • Workplace Management Peers in other regions
  • External supply partners.

Knowledge, Skills and Abilities:
  • Excellent customer service skills with a professional, friendly and helpful manner.
  • Excellent organisational skills.
  • Proactive with an eye for detail.
  • Ability to manage multiple workstreams with competing deadlines.
  • Strong knowledge in the use of all Microsoft products and experience of Workplaces related IT systems used for data entry and reporting, including in-depth knowledge of the use of SharePoint.
  • Basic Health & Safety Management knowledge and experience.
  • Team player.

Requisite Education and Experience/Minimum Qualifications:
  • Experience of working in a Facilities Management environment in a large organisation.
  • Experience of ownership of Sharepoint or equivalent system and use of databases to create reports.
  • Experience of participation in ISO accreditation assessments and/or management of documents to ensure legislative compliance.
  • IWFM Membership.
  • A relevant IWFM qualification or prepared to work towards one.
  • IOSH ‘Working Safely’ qualification or prepared to work towards this.
