Admin Assistant & Receptionist
Role:
The Admin Assistant & Receptionist role will provide admin support to a mixed team of +100 consultants and be the reception for the London City office (Fenchurch Street).
Reporting to the Worley Consulting business leader, and in close coordination with the Senior Executive Assistant and Office Manager, the Admin Assistant & Receptionist will have the following responsibilities:
- Deliver all administration tasks in an efficient and timely manner as requested by the team to enable the business to function.
- Act as the office receptionist for the Fenchurch Street office and provide services to visitors including induction on arrival, registration, updating office guides and more.
- Act as the office administrator, carrying out HSE inspections, coordinating Fire Warden and First Aider cover.
- Build and maintain good relationships with the Service Line teams, the Worley Facilities Management team and the office landlord.
- Working with the Worley Facilities Management team, support all aspects of office management. Oversee facilities management activities, including managing office space, coordinating maintenance and repairs, ordering supplies. Collaborate with Landlord to address facilities-related issues.
- Use Worley systems including HybridHero, Timesheets, Concur, etc. to manage tasks.
- Provide administrative support to our Service Line Leaders including scheduling meetings, coordinating travel arrangements, and organizing logistics for events and conferences.
- Assist with the planning and coordination of client meetings and events.
- Manage all incoming and outgoing letters, parcels and post including courier items, on behalf of the team.
- Assist with booking and planning travel arrangements, including booking flights, accommodations, ground transportation, and managing travel itineraries. Ensure travel plans are communicated and changes are dealt with as they arise.
- Proven experience as an Admin Assistant or in a similar customer facing or organisational role
- Accuracy and personal pride in a job well done with attention to quality work
- Excellent communication skills both verbal and written (English) with the ability to communicate effectively with individuals at all levels
- Professional demeanour and ability to represent the organization
- Exceptional organizational and multi-tasking skills, with the ability to prioritize and meet tight deadlines
- High level of discretion and ability to handle confidential information with utmost sensitivity
- Proficiency in Microsoft Office suite specifically Teams, PowerPoint, Word, Excel and Forms.
- Knowledge of or ability to quickly learn to use management interface systems, such as HybridHero, Concur and other management systems as necessary. Initial familiarity training will be given to start with.
