As Administration Controller you will collaborate closely with Departmental Managers to ensure seamless administrative operations across Engineering, Production and Projects. Your responsibilities will include overseeing and orchestrating the interactions between each department, ensuring administration deliverables are communicated, understood, and achieved. In addition, you will work alongside Senior Project Engineers or Project Engineers to understand project deliverables, while overseeing internal and external document control, management of Client SDRL’s / internal MDR’s, compilation of Equipment and Project Certification / Documentation Packages.
Additionally, you’ll manage the workload of the departmental administrators and coordinate interdepartmental support where and when required and supervise the Business Modern and Administration Apprentices. Within the role you will ensure all documentation is up-to-date for the relevant department and analyse processes to enhance efficiency. Your problem-solving skills will be crucial in resolving administrative challenges and driving compliance in conjunction with Departmental Managers when creating and revising systems and procedures by analsying working practices, record-keeping systems and IMS documents, as well as coordinating the preparation of reports, and identifying solutions.
Roles and Responsibilities
- Oversee and manage the delivery of operational administration support within the business unit.
- Work with SPEs / PEs & Managers to schedule and plan effective admin support.
- Oversee and manage the internal & external Document Control process.
- Oversee and manage the Creation and Maintaining of project SDRs / MDRs.
- Oversee and manage the preparation and compilation of asset technical construction file & certification packages.
- Actively assist SPE’s & PE’s with the upkeep of the Asset Management Software ensuring the input and upkeep of project data, Status, Hire equipment Timelines, Dates, Project Financial Milestone, Variation Requests, etc is conducted in a timely manner.
- Oversee the preparation of Shipping documentation working in conjunction with SPE's / PE's and Logistics Controller.
- Assist in the preparation of offshore work packs & technical documentation as required.
- Issue and allocation of asset ID numbers including the upkeep of the asset register.
- Create and maintain electronic project files.
- Manage project administration team to ensure documentation deliverables are achieved correct and on time.
- Delegate workload between administrators and business modern apprentice within Projects Department
- Support Business Modern Apprentices with understanding and learning the project administration processes and responsibilities.
- Completion of departmental audits and spot checks as and when required.

DESIRABLE
- HNC in Business Admin/Management or Business Modern Apprenticeship or significant relevant admin experience.
