Job description

Platform Resourcing is looking for an Administration Managerto join a busy Engineering Administration department in the Caerphilly area. The company is very well-established, are in an exciting time of expansion and this role is a key position for them.

This position is new to the business so you can completely make it your own.

The role will include managing an administration team of 5 that are responsible for processing all invoices and purchase orders in this busy department, as well as updating all engineer's job cards which include parts used, timesheets and costings for a large client account. This position will require strong, proven administration skills, as well as successful people management experience. You will be a hands-on Manager, performing various administration tasks yourself, as well as ensuring your team are meeting required administration levels, producing accurate costings, data input and sending out relevant paperwork and documents on time to customers.

Administration Manager Benefits:

  • Salary of up to 35,000, negotiable for the right person

Administration Manager Responsibilities:

  • Supervise the day-to-day operational functions of the department for a team of 5 engineering administrators.
  • Implementing best practise for the efficient running of the department.
  • Overseeing the team and their processing of customer orders, the raising of invoices and purchase orders as well as accurate input of cost codes and various other data.
  • Running reports for Senior Management.
  • Ensuring you have a strong overview of all engineering administration being performed, outstanding documents and orders, being able to relay informed information to your direct line Manager.
  • Liaising with customers and internal teams to ensure timely delivery and managing any issues
  • Checking the team's processing of parts orders, stock invoices and purchasing data for errors.
  • Drive continuous improvement, making effective changes after identifying issues, implementing improved processes wherever possible.
  • Managing the scheduling team, including 121's, team building and performance monitoring.
  • Recruitment, induction, training and retention of staff.
  • Reviewing daily reports (highlighting and managing any staff errors in advance).
  • Managing team holidays, sickness and absences.
  • Resolve customer service issues, dealing with customers directly when needed.

Administration Manager Essential Experience/ Skills:

  • Experience of managing an order processing/ sales/ purchasing administration team within either an engineering/ manufacturing/ logistics or Transport environment.
  • Hands on administration experience within order processing/ sales administration or purchasing administration
  • Experience of monitoring performance and help individuals within your team improve their performance.
  • Hands on administration experience including processing of orders, purchase orders and costs.
  • People management - motivating, influencing and helping to achieve required targets.
  • Experience of performing 121's or performance reviews.
  • Experience of running reports with proven ability of extracting, collating and presenting data to Senior Management
  • Experience of liaising with other internal departments, confident to check information i.e. stock availability, costings, request changes or for general support
  • Excellent planning, organisational and prioritisation skills, remaining calm and maintaining a professional demeanour.
  • Experience of using various CRM/ data management systems that support administration functions
  • T. Literate in all Microsoft Packages including Word, Excel and Outlook
  • Confident and assertive personality, able to delegate when necessary in a positive manner
