Client Services Administrator - Part-Time (20 hours/week, working from home)
Our client is a well-established and respected Charity who are on the lookout for a compassionate and organized individual to join them as a Client Services Administrator while exemplifying their values of Integrity, Inclusivity, Community and Respect. Working from home, based in Shropshire, Herefordshire or Worcestershire, using a work mobile and laptop (provided) and reporting to the Charity Manager, you will be providing timely support to people in Herefordshire, Worcestershire, and Shropshire who meet the Charity's criteria for grants. Building connections and rapport with a diverse range of people who meet the Charity s eligibility criteria for grants, clients are assessed in accordance with criteria set by the Charity s Trustees to be in acute financial need.
What We're Looking For:
A good communicator who is comfortable and able to relate well at all levels. Someone who can empathize with others while still objectively assessing eligibility and need. A well-organized individual with sound skills in administration and record-keeping and using MS Office. Hubspot skills would be an added advantage.
Key responsibilities:

  • Be contactable during core working hours: 10am 2pm Monday to Friday (with some flexibility) via mobile phone, website and email to respond to requests for assistance from third party referrers and, where applicable, potential clients.
  • Assess potential clients eligibility for grants against the Charity s criteria, validating their eligibility with necessary statutory and third parties prior to processing their application
  • Ensure all relevant documentation is completed accurately and provided to support applications forwarded to the Charity Manager for evaluation, having first established availability of funding with the Charity and Finance Officer
  • Maintain up to date records of clients on our client s system, complying with GDPR and other relevant internal policies and procedures
  • Establish and maintain a network of professional partners and local statutory agencies looking, wherever possible, to share the provision of support in order to realise maximum benefit for clients, and to ensure most effective and efficient use of our client s funds available
  • Be the key contact for and representative at a variety of identified partner outlets in the locality
  • Managing varied tasks, from processing grant applications and ordering essential equipment to developing relationships with our client s third party partners and suppliers.
  • In consultation with colleagues, build a network of providers of purchased goods and services, ensuring best value and best service/reliability.
  • Keeping an eye on metrics like the number of clients being supported, feedback from clients and stakeholders, and making sure our client s funds are well-spent.
  • Liaise with other team members, including attending weekly virtual team meetings, in order to share the workload most effectively and share good practice, ideas and experiences, putting forward suggestions for ways to improve processes and the client experience to the Charity Manager.
  • Notify the Charity Manager of any concerns, lack of resources or obstacles that prevent you fulfilling your responsibilities to the best of your ability e.g., telecoms, training, etc.
  • Being the go-to person during core hours (10am 2pm) via phone, website, and email.
  • Representing the Charity at partner outlets, attending meetings, and keeping their Facebook page full of positive and encouraging news and information.
  • Provide additional advocacy and signposting to partner agencies where appropriate


Essential Requirements:
A confidential and trustworthy team member who handles client information with the utmost discretion.
Having a clean driving licence and access to a vehicle for attending meetings. Mileage is paid at HMRC rate of .45p per mile
A good standard of education
A basic DBS certificate to ensure we're all on the same page.
