Role Purpose:
To provide administrative support to the Chief Legal Officer’s department in relation to the provision of organisational legal advice and the preparation of cases under their management. Proactively support the work of the Regulatory Operations Directorate and participate in the development and maintenance of administrative systems within the team according to its aims and objectives.
The post-holder will mainly work remotely but will be required to attend the office as needed; this is expected to be approximately one day a week and will not exceed an average of three days a week.
Key Accountabilities:
- Manage departmental filing including recording correspondence and documents casework and advice on SharePoint and the organisation’s case management system entering/retrieving information with high accuracy, including logging all outgoing correspondence
- Support casework to a high standard and within KPI timeframes, including assisting with straightforward communications and preparing hearing bundles
- Help create and manage a central knowledge bank, to include caselaw, legal advice, training materials and a library of FAQs
- Manage casework queries within remit, liaising with GOC colleagues and external stakeholders as appropriate
- Provide broad administrative support including the drafting of routine letters, proofreading documents, making/receiving telephone calls and preparing attendance notes
- Respond to internal and external queries within remit, including by tailoring and sending template communications about our functions and procedures
- Assist with the provision of internal training, including by conducting initial searches for information, compiling PowerPoint or other presentations and making arrangements for colleagues’ attendance
- Provide equivalent administrative support to the rest of the directorate, and to the organisation, as required
Essential skills/Experience/Qualifications:
- Good understanding of working in a legal or regulatory environment. Prior legal administrative or customer service experience is desirable but not essential;
- Good Microsoft office skills including Word, Excel and PowerPoint
- A high standard of literacy and numeracy
