Job summary
The ‘ADVANCE’ (ArmeD SerVices TrAuma RehabilitatioN OutComE) Study is a large, complex and fully funded, prospective cohort study of the long-term medical and psychosocial outcomes of UK Servicemen who were seriously injured in the conflict in Afghanistan. Approximately 600 seriously injured men and an equal number of reference personnel have been recruited and will be followed regularly for at least 20 years. ADVANCE is run jointly by Imperial College, London, Kings College London and the Defence Medical Rehabilitation Service (DMRC) at Stanford Hall, Leicestershire.
An exciting opportunity has arisen in the ADVANCE team at for an enthusiastic, motivated individual to work as part of our administration team at DMRC, Stanford Hall. You will be contacting our research participants via telephone and e-mail and arrange their follow-up appointments, accommodation and travel. You will need to be very organised at booking all the clinical tests and keeping all departments informed of planned visits and rearranged or cancelled appointments. You must have excellent attention to detail and maintain all study databases with updated bookings and communications.
You will be the ‘face’ of ADVANCE for our participants, and therefore exceptional interpersonal and communication skills, and a helpful, friendly manner are required.
Being aware of and acting in accordance with all GDPR and data requirements, guidelines and regulations at all times will be essential. More information on the ADVANCE Study can be found on the Study’s website.
The post is located at the Defence Medical Rehabilitation Centre (DMRC), Stanford Hall, Nottinghamshire.
Duties and responsibilities
Your main responsibilities will include:
- Using excellent interpersonal skills to engage with study participants on email, on the telephone and in person.
- Ensuring all study participants are contacted within a defined timeframe to arrange their follow-up appointments.
- Being responsible for monitoring recruitment rates and producing weekly and monthly recruitment reports.
- Working closely with the recruitment team based in London to ensure all participants are followed up within agreed timelines.
- Working work with other members of the admin team, cross cover admin tasks and maintain seamless admin support for the study.
- Organising all necessary arrangements for participant appointments including travel, accommodation, and meal requirements.
- Drafting all correspondence relating to the participants appointment, including appointment and medical letters as well as all other necessary documents using the Microsoft Office suite (MS Outlook, Word, Excel and Access).

Essential requirements
Essential requirements for the role include:
- Good general education
- Administration experience gained in a busy office/team environment
- Evidence of working effectively in a team
- Excellent IT skills with experience in Microsoft Office suite, particularly Word, Excel, Outlook and Access
- Understanding of GDPR and confidentiality
- Excellent verbal and written communication skills, with professional approach
- Ability to comfortably and professionally communicate via telephone
- Proven interpersonal skills with an ability to effectively communicate with people at all levels
- Ability to demonstrate initiative, working without direct supervision
- Flexible attitude towards work
