Your new companyOperates within the Medical industry. They have appointed Hays to recruit an Appointment Advisor / Administrator to join their team. This is a full-time permanent position. Working hours will be 9am to 5pm. Your new roleAs Appointment Advisor / Administrator, you will join a highly dynamic team that is responsible for scheduling outpatient appointments. The booking process will take place over the phone, or in the organisations custom-built One2One office where you will meet the patients face to face. As Appointment Advisor / Administrator, you will be a point of contact for reassuring patients about the booking process and helping them with any paperwork or documentation that they may require.Key duties will include: Scheduling of surgical procedures within specific time scales Ensuring all records are accurate and up to date relating to patient treatment Liaising with colleagues across a variety of teams Working as part of a team to ensure the smooth running of department Dealing with queries from patients over the phone, in person and via email, ensuring timely responses Helping patients fill in paperwork and request documentation if required Liaising with external agencies in a professional and efficient mannerWhat you'll need to succeedAs Appointment Advisor / Administrator, essentially, you will have 5 GCSE grades A-C including Maths and English or Equivalent. You will be proficient in MS Suite including Word and Excel. Have an understanding of the Data Protection Act and importance of confidentiality. The ability to communicate effectively with a wide range of people via the company telephone and other electronic systems. Excellent customer service skills and telephone manner. An eye for accuracy and detail when dealing with patient records. Understand the role of teamwork in providing quality service. Ability to work on own initiative. Demonstrate the ability to problem-solve. Highly organised and able to prioritise tasks. You will be highly motivated and committed to producing quality outcomes within a fast-paced and busy office environment.We are looking for a highly motivated individual who is committed to producing quality outcomes and someone who thrives on the challenge of working in a fast-paced and busy office environment. You must be willing to work on a rota basis as our clinics are open Monday-Sunday 9am - 5pm.
