Assessment Report Officer – West Yorkshire
Salary: £ 11.18 Per Hour
Full Time: Monday to Friday – 09:00am to 17:00pm
Role Purpose:
- To provide a comprehensive range of administrative duties to support the special educational needs assessment and review team (SENART)
- To provide an efficient service using an electronic document management system
- To ensure a good foundation of specialist administrative support for the special educational needs statutory process
- To provide first point of contact to parents and services.
Responsibilities:
- To assist with the implementation of the 1996 Education Act Special Educational Needs statutory assessment and statutory review procedures and the 2014 Children and Families Act to include:
- Creating new electronic learner files on the CEMS and civica databases including scanning and indexing legal documents and professional reports and entering and ensuring personal details are accurate.
Updating electronic learner records with documents as required. - Updating learner personal details and contacts as appropriate through agreed processes.
- Receiving and recording returns of reports from multi-agency professionals following the production of reports towards statutory assessments and the review of statements of special educational needs/ education, health and care plans.
- Completing and amending workflows as appropriate on the CEMS database to ensure the accurate progression of work in a timely manner.
- Processing annual review paperwork from schools to complete summary reports for SEN/Casework officers.
- Arranging meetings as part of the statutory process with a wide range of professionals and parents, ensuring best use of time/ resources.
- Sending confirmation of EHCP transition reviews/ assessment meetings to parents/ carers, schools and appropriate professionals.
- Ensuring that pupil files are transferred to Wakefield following a move into district and prepared and sent to other authorities following a move out of district, in a timely manner to ensure appropriate provision can be made.
- To make appropriate enquiries of services in regards to outstanding or incomplete information.
- Accurate recording of information at all times, in particular around any financial elements, to ensure no detrimental impact on overall budget.
- Undertake end to end management of case enquiries that do not require escalation to SEN/casework officers.
- To share responsibility for being the first point of telephone contact for parents/ carers, schools/colleges and multi-agency professionals seeking information, advice and guidance which will include:
- Dealing with complex enquiries and establishing the requirements of the call.
- Providing accurate, comprehensive, initial advice and guidance on statutory and out clients processes and procedures.
- Making accurate records of queries to pass to officers as appropriate, including when not available.
- To appropriately escalate enquiries and areas of concern to the appropriate person or service.
- Signposting callers as appropriate to alternative suitable services.
