Job description

Bookkeeper/Office Manager

Due to continued expansion, we're recruiting for a Bookkeeper/Office Manager to join our Portsmouth's based client.
Financial Responsibilities:

  • Maintain accurate and up-to-date financial records using accounting software such as Sage, Xero, as QuickBooks.
  • Process accounts payable and ensure timely payment of invoices.
  • Reconcile bank statements and credit card transactions.
  • Prepare financial reports, including balance sheets, income statements, and cash flow statements.
  • Assist with budgeting and forecasting.
  • Monitor and analyze financial data to identify trends and discrepancies.
  • Collaborate with other departments to ensure accurate recording of financial transactions.
  • Assist with year-end audits and tax preparations.
  • Process payroll and ensure accurate and timely payment to employees.
  • Analyze financial data and trends to provide insights into the organization's financial performance
  • Develop, monitor, and manage budgets.

Administrative Management Responsibilities:

  • Supervise and lead office staff, including administrative assistants and receptionists.
  • Plan and coordinate administrative procedures and systems to ensure organizational effectiveness.
  • Maintain and improve office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Address customer inquiries and concerns promptly and professionally.
  • Collaborate with field technicians to schedule appointments and ensure timely completion of services.
  • Manage and organize company records, including customer accounts, invoices, and contracts.
  • Generate and analyze reports to monitor office performance.
  • Assist with budget preparation and monitoring of office expenses.
  • Work closely with the finance department to ensure accurate financial record-keeping.
  • Oversee the recruitment and onboarding process for office staff.
  • Manage employee schedules, time off requests, and performance evaluations.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or a related field (preferred).
  • Proven experience as a Bookkeeper or in a similar role.
  • Proficiency in using accounting software such as Sage, Xero, and QuickBooks.
  • Strong understanding of accounts payable processes and procedures.
  • Ability to work independently and meet deadlines.

Salary: £26,000 - £30,000 Per Annum
Working Hours: 8:00am - 6:00pm Monday to Friday (Flexible hours available)
This is a Full Time, Permanent Position
