Role Purpose
To provide high level operational support to the team members and overall business function of the Government & Defence team. The Business Support Manager will offer comprehensive logistic support, project planning and administrative support and will be the key interface between the Government & Defence team and the wider Avanti organisation. They will play a critical role in the success and efficiency of the team’s overall function and will directly support external functions including Logistics, Procurement, Finance, Travel, Billing and Marketing in ensuring the smooth running of Defence & Government team business.
Key Accountabilities & Responsibilities
Events Management
- Plan and organise events from initial planning through to execution and post event analysis including internal & external training, seminars, conferences, and exhibitions. Coordinate and maintain the team events calendar. Responsible for monitoring expenditure against the annual budget, booking events, agreeing, and preparing appropriate marketing material and ‘swag’, determining best travel plans, and booking and managing travel and accommodation with Avanti travel coordinators. At major events, will attend and run events, coordinating with stand builders and event organisers to ensure the smooth running of the event. Will arrange, coordinate, and help host specific Defence team hospitality events and assist with hosting.
Equipment Distribution.
- The Defence team point of contact with Avanti Supply Chain and 3rd party equipment suppliers and partners. Will oversee and maintain awareness of the entire Export process, including international shipping and will work with Supply Chain to apply for licences and carnets where necessary and support any documentary requirements for reporting to HMRC.
Virtual Office Management
- Responsible for the teams admin to ensure the daily operations and efficient functioning of the Defence team, including: supporting new joiners; generating business cards; raising purchase orders and tracking billing and timely payment of invoices/bills; taking minutes and managing actions from internal meetings; acting as Project Manager for small, non-complex defence projects and reporting on progress of any activities and deadlines; tracking team compliance against mandatory training; monitoring OfficeVibe feedback and identifying issues for improvement.
Equipment Manager
- Responsible for the storing and maintenance of equipment, marketing material, flyers and ‘swag’ for Defence sales activities.
Marketing Support
- Identify appropriate events and activity for marketing exploitation; take photographs and work with team members to utilise to best effect on social media – working in conjunction with Avanti marketing and communications teams.
Travel Support
- Manage team’s travel needs; working with Avanti travel coordinators to identify and book flights, trains, rental vehicles, visas, and itineraries as well as identifying cost savings and maintaining budget requirements.
Project Support
- Assist and support complex deal/trial project managers as and when required – enhancing own knowledge and acting as team point of contact.
- Assist with recruitment administration & Co-ordination of new joiner’s inductions.
- Manage the security and vetting schedule and timetable for all Defence team staff ensuring that all relevant checks are executed and maintained and kept up to date and managing the reporting of any breaches and changes of circumstances as and when required.
Skills & Qualifications
- Excellent organisational skills and good communications.
- Be confident making decisions and working on own initiative
- Understand the need for absolute confidentiality and security
Have a good standard of Microsoft Office programmes, e.g. Excel, Word and Outlook
- Have a good understanding and a willingness to learn, develop and use social media and marketing skills.
- An appreciation of customer focused sales operations and a willingness to learn and grown into a more sales-focused role.
- Ability to build up relationships with key people both internally and externally
- Willing to go the extra mile to ensure the team’s objectives are achieved
- A positive attitude, team spirit and a high level of professionalism are essential
- Ability to travel both nationally and internationally for events
