FINANCE AND OFFICE MANAGER (Part-time)

Main purpose of job:
The Finance & Office Manager’s role is to maintain the financial and Office management of the organisation in line with the Executive Director and Trustee requirements.
1. To be responsible for the financial management of Global Link, to include:
1.1 Recording all financial transactions on QuickBooks online, and managing filing of accounting documents
1.2 Processing of invoices and payments, receipts and banking
1.3 Control and recording of petty cash
1.4 Preparation of monthly payroll including pension processing and administration
1.5 Preparation of the annual organisational budget with subsequent budget monitoring and variance analysis
1.6 Creating project budgets and providing financial information for funding bids
1.7 Preparation of financial reports for funders as and when required
1.8 Preparation of quarterly management accounts for Trustee meetings
1.9 Preparation of Gift Aid returns
1.10 Preparation of SORP compliant annual statutory accounts ready for examination by Global Link’s accountants
1.11 Implementing and developing financial policies and procedures
2. To be responsible for office management, to include:
2.1 Supervision of the premises, including maintenance contracts, building safety requirements, and dealing with suppliers
2.2 Liaising with the IT staff to ensure the integrated functioning of IT systems
2.3 Overseeing Global Link’s data management systems in line with GDPR
2.4 Updating office records, including staff handbook and policies
2.5 Maintaining appropriate office supplies
2.6 Undertaking risk assessments in line with Health & Safety policies
3. In line with all Global Link staff
3.1 Office cover and dealing with enquiries
3.2 Attend team meetings, project meetings, strategic Away Days and others as required
3.3 To carry out other relevant tasks as requested by the Executive Director
Salaries and benefits:
The post is 21 hours/week, to be worked flexibly. The pro rata starting salary for this post is £27,493 – 34,562 pro rata (depending on experience) plus a 5% pension contribution. The holiday entitlement is 30 days/year pro rata which includes public holidays and the period between Christmas and New Year.
