Commercial Property Administration Officer

Key Responsibilities
The post holder will report directly to the Commercial Property Business & Technical
Manager and will be responsible for:
1. Maintaining and updating Commercial Property Databases and Systems, including filing of lease and associated documents.
2. Processing all team communications in an efficient manner, ensuring responses are issued in a timely manner and records maintained.
3. Maintaining and updating the Commercial Property filing system and implementation of the NIHE Retention Policy.
4. Managing and maintaining the ongoing property and commercial tenant reviews and actions for the Commercial Property Surveyors.
5. Preparation and issue of all legal and associated documentation to commercial tenants and carrying out the appropriate landlord requirements for the documentation.
6. The digitalisation of key commercial tenancy documents, which will involve document retrieval and scanning.
General
1. To provide a high level of internal and external service including taking ownership of queries and complaints and following issues through to completion.
2. To ensure continued and effective working relationships with key internal and external stakeholders.
3. To undertake duties in such a way as to enhance and protect the reputation and public profile of NIHE.
Experience and Qualifications
Essential
Applicants must provide evidence by the closing date for application that they meet the following essential criteria:
1. Either
(i) Possess a BTEC Higher or equivalent qualification plus one years relevant general administrative experience.
OR
(ii) Possess a BTEC National or equivalent qualification plus two years relevant general administrative experience.
OR
(iii) Exceptionally, candidates not holding the above level of qualification but with three years relevant general administrative experience, may also be considered.
2. Have significant experience in the following areas:
(i) Experience in providing effective administrative support for the delivery of business unit objectives and core activities;
(ii) Experience in the maintenance and development of complex electronic databases or IT support systems using Microsoft packages including e.g. Outlook, Word, Excel, or Access;
(iii) Experience of dealing with internal and external stakeholders to achieve business objectives;
(iv) Experience in the preparation of written reports for senior management. General administrative experience must be within an office based environment and include either investigatory responsibility, or customer care responsibility.
