Compliance & Office Management Executive
We seek a diligent and dynamic Compliance and Office Management Executive to join our team. In this role, you'll play a crucial part in maintaining the smooth operation of our office environment while ensuring adherence to regulatory standards. Key Responsibilities:
- Managing and handling the company registers, statutory books, preparation of dividend resolutions, vouchers, and other general secretarial tasks. This includes but is not limited to drafting and maintaining official documents, ensuring compliance with legal requirements, and supporting corporate governance activities.
- Assist executives with personal requests, including handling errands and booking travel arrangements.
- Extensive diary management.
- Coordinate and schedule meetings, ensuring all appointments are logged and managed efficiently.
- Manage office supplies and ensure stock levels are maintained, including ordering supplies as needed.
- Collaborate closely with team members to meet compliance deadlines and requirements.
- Support in managing Irish/UK entities and handling KYC statutory documents.
- Facilitate ID verification processes for acquirers and ensure proper documentation is obtained and maintained.
- Handle company emails and e-signatures, ensuring timely responses and compliance with procedures.
- Assist with administrative tasks such as sending invoices, managing expenses, and handling office correspondence.
- Organize and maintain company documents and records, ensuring accuracy and accessibility.
- File confirmation statements and manage web-filing accounts for various companies.
- Handle post collection, scanning, and filing, ensuring proper organization and record-keeping.
- Create and maintain monthly presentations forecast on financial progress and HR updates.
- Collaborate closely with finance team members to gather relevant data and ensure the accuracy of reports.
- Incorporate HR and financial information into presentations, following predefined financial spreadsheets and seeking approval before submission.
Qualifications and Skills:
· Previous experience in executive assistance, Office Management, compliance, or related fields preferred.
· Strong organizational skills and attention to detail.
· Excellent communication and interpersonal abilities.
· Proficiency in Trello, and Microsoft Office 365 and task management tools.
· Ability to handle sensitive information with confidentiality.
· Adaptability and ability to multitask effectively.
· Ability to handle various tasks that may not be aligned with role.
. Fluency in French is desirable but not necessary for this position.
Job Types: Full-time, Permanent
Salary: £25,000.00-£32,000.00 per year
Schedule:
- 8 hour shift
- Monday to Friday
