Location: Victoria
Hours: 8:30am to 5:30pm
Responsibilities:
- Monitor incoming and outgoing correspondence, address issues promptly
- Maintain accurate records and trackers, adhere to document control procedures
- File correspondence and associated documents
- Update project-specific trackers and maintain the document management system
- Liaise with clients and project teams for administration requirements
- Provide exceptional service standards to meet client expectations
- Offer general office support, including inquiries, document formatting, and filing
- Record project and subcontractor pre-start meetings
- Collect sustainability information for monthly submissions
- Set up new contract sites electronically and manage health & safety documentation
- Assist with purchase orders and drafting instructions to subcontractors
- Aid in the collection and filing of O&M information
- Support project start-up and shut-down processes
Requirements:
- Minimum 1 year of administrative support experience in construction
- Understanding of construction project delivery processes
- Strong IT skills, including Microsoft suite and electronic document management systems
- Flexibility to work occasional hours
- Knowledge of heritage projects is desirable
- Clean personal security clearance
