My client is seeking a Customer Service Specialist to join their Pharmaceutical Operations team. This role is crucial for processing customer orders and ensuring timely delivery with compliant documentation. The ideal candidate will have a strong background in export management and a customer-oriented approach.
Day-to-day of the role:- Receive and confirm customer orders based on capabilities, ensuring timely preparation of shipments and raising all required documentation, including legalisation as needed.
- Arrange shipment of goods through qualified forwarders and assess letters of credit, gaining clearance from Finance.
- Serve as the first point of contact for overseas and domestic customers regarding orders and forecasts.
- Solve unforeseen issues efficiently and compliantly by liaising with internal and external stakeholders.
- Track order status and execute UK customer orders promptly.
- Participate in on-call duty rotation with other team members.
- Proactively liaise with customers and sales staff in case of exceptions to planned order execution.
- Maintain flawless documentation of orders and shipment documentation.
- Execute all transactions in IFS and maintain records in ACTIS (CRM).
- Update and provide data for monthly KPI monitoring.
- Participate in planning meetings and deputise for the Customer Service Manager during absences.
- Represent UK/ICON in cross-functional projects as required.
- Raise Customer Complaints/GDP Incidents and work with QA to investigate.
- Raise Change Controls for Business Development in the company’s trackwise system.
- 7 years of experience in export management, with at least 3 years of experience with exports outside the EU.
- Strong customer orientation and a ‘be of service’ attitude.
- Superb verbal and written communication skills.
- Well-organised and diligent.
- Strong PC user skills in various environments (CRM, ERP, Excel, and other Windows applications).
