The Role
As a Document Controller & Business Admin, you will ensure company quality auditor standards, concerning the flow of documentation in and out of head office (drawings, tenders, information requests, etc).
Specifically, you will:
* Provide 1st line contact for all helpdesk enquiries and service support to customers and suppliers.
* Liaise with customers and suppliers for the speedy and effective delivery of products and services.
* Utilise company systems to facilitate effective communications: Smartsheet, Microsoft Office Suite, e-mail, and telephone.
* Support in planning and arranging subcontractors, labour, and ordering of materials through the purchasing team.
* Generating and compiling O&M manuals and all associated documents.
* Order equipment and services for projects through the procurement team
* Establish strong working relationships with site teams.
* Have regular liaison with Directors, but reporting to the Operation Director
* To ensure all documentation and records are maintained within the QMS for audit compliance purposes, in line with company processes.
* Support and administer to NOO, EVO M and Quote systems/dashboards.
* Handle coordination of Climate KPIs for H&S & Quality, Training plans, Human Focus & CSR.
* Handle coordination of Continuous Improvement Initiatives & internal projects.
About You
To join us as a Document Controller & Business Admin, you will need:
* Previous experience in administration
* Excellent Excel, PowerPoint, Word and Outlook skills
* Excellent customer service and communication skills
* The ability to input, process and interpret data with high attention to detail
* A high level of organisational skills and ability to work flexibly
* The ability to work to targets and deadlines, communicate clearly and persuasively, think on your feet and act decisively.
* The ability to motivate others and not be persuaded away from targets
* Problem-solving capabilities and ability to grasp concepts easily
* The ability to make decisions and use own initiative & learn new skills
