Document Workflow Coordinator – Evenings
Salary: £25,000 per annum plus company benefits
Location: Birmingham, B4 6WR
Contract: Full Time, Permanent
Shifts: 37.5 hours per week, Monday – Friday, 2:30pm – 11pm with 1 hours break or 3pm – 11pm with a 30 minute break
Work model: Fully onsite due to nature of role

Purpose of role
The Docucentre Workflow Coordinator is an experienced position delivering exceptional customer service to our clients. This role will be based within a reprographic room on the client floors and often will require the candidate to be able to work without direct supervision. This role will cover several of our service areas and will require a high level of multi-skilling.
This includes, but is not limited to, ensuring the efficient and prompt answering of client queries, adhering to all Williams Lea policies and procedures, help manage the workloads to ensure the team complete all work within the agreed services levels and assisting with completing general administrative and reporting duties as required.
All Docucentre team members are accountable for maintaining the established relationship between Williams Lea and our clients. You will be able to recognise and translate the client’s needs to the team and help create a responsive service.

Key responsibilities
  • Intakes work requests from the client, including clarification of job instructions and negotiation of deadlines with the requester. Seeks alternate solutions to deadline requests, as needed
  • Assist with the completion of all reprographic requests (e.g., print, copy, scan & digital requests)
  • Prioritises work requests across team and coordinates/balances multiple projects following established guidelines, especially when working with escalated deadlines or issues
  • Oversee and manage the workflow in the Docucentre in line with the client’s agreed service levels, distribute work to the team
  • Encourage a customer service environment and ensure that all processes reflect this, and all staff are appropriately trained with the help of the team leader
  • Participate in training of new staff and with the continued development of current staff where appropriate
  • Assisting the Team Leader with the compilation of monthly reporting
  • Ensure equipment is properly maintained and utilised
  • To immediately raise any health and safety concerns to your manager
  • Communicates with manager and/or client on job or deadline issues in a timely and professional manner
  • Assists the Team Leader or Manager in the execution of administrative and/or other procedures or systems across impacted team members
Personal attributes
  • Excellent verbal and written communication and interpersonal skills necessary to communicate questions and/or suggestions to client and other team members in a professional and customer service-oriented manner
  • Proficiency in software applications used in reprographic workflows (e.g., Engage, Microsoft)
  • Ability to work in a fast-paced, deadline driven team environment
  • Good judgment and organisational skills with sound decision-making ability and solutions-oriented approach with the ability to ask for and follow directions
  • Ability to work both independently and collaboratively as part of a team; self-motivated to ensure own production
  • Communicate with team members, Team Leader, Manager and/or Client on job or deadline issues
  • Handle sensitive and/or confidential documents and information
  • Attention to detail with emphasis on accuracy and quality
