ABOUT THE COMPANY:
Veriflo Ltd specialise in professional project management and consultancy in clean water asset services. Our goal is to provide solutions for our clients by seeking leakage and unaccounted-for-water, providing resolutions and mitigation plans to ensure the network works as efficiently and effectively as possible. We provide services in water quality controls, large statutory outages, network operations, strategic optimisation and water quality.

JOB SUMMARY:
As Duty Manager, you will be responsible for the day-to-day planning of Field Team resources to meet project requirements, often involving short-notice changes and adapting to client needs and water network operations. The role supports Project Delivery Teams by leading planning meetings and ensuring effective communication within the wider team. The ideal candidate will be resourceful, efficient in planning, and adaptable to change. It’ll be crucial to understand all projects, resource requirements, and capabilities, and be knowledgeable about Field Team Working Time Policies, including pay provisions, Working Time Policy, Lone Working Policy, and other relevant policies.

RESPONSIBILITIES:

Planning:

You'll be the primary lead on planning all field activities for the Field Team and Commissioning Team work schedules. This includes:

  • Chairing daily, weekly and month ahead planning meetings
  • Creating and distributing the plan to all relevant parties.
  • First point of contact for field based teams to effectively communicate work load, working hours and resourcing needs.
  • Managing and distributing the night work rota in advance
  • Work with Project Teams, the Field Team Supervisor and the Support Team, to maintain a volume of Project Administration contingency work job tasks for field team when work is complete
  • Lead the review of the to assess any conflicts, work shortfalls, sub-contractor requirements or other issues, liaising with the Planning Lead (Ops Director)
  • Generate template monthly plans, with a view to proactively completing them ahead of monthly meetings by actively engaging with Project Managers.
  • Work with schedulers to ensure Planning software tool is up to date and accurate.
  • Understand and appreciate in intricacies or each project and their individual planning needs
  • Drive efficiencies where possible, such as reviewing resource travel distances to site, and making alternative suggestions
  • Manage Stay away from home/Working further a field provisions when required
  • Liaise with the fleet, H&S and training teams to ensure all field team attendance obligations are fulfilled.

Policies and procedures:

  • Possess a full understanding of the field/commissioning team working time and associated policies.
  • Ensure compliance of Lone Working Procedures, Safe Operating Procedures and any other relevant policies.
  • Lone working enquiries including call alerts for providers and the escalation process when required.
  • Verifying and authorising timesheets, anomalies, overtime and work load management for field based teams. Including liaising with Business Owners to authorise irregular working hours or adhoc eventualities.
  • Support the Admin and Payroll team in spot-checking timesheets and collating data report for review by the SMT.

Communication and performance:

  • Actively participate in the future development of 'Performance tracking - field team time vs. quote development' this will include software development and trials.
  • Liaise, coordinate and action with others in the Company to improve communications, processes and efficiency.
  • Support Field Team Supervisor through performance life cycle by providing data and reports on job completion with an aim to develop capabilities and identifying knowledge gaps within field based teams.
  • Possess an awareness of field based teams capabilities and required training provisions to ensure that jobs are allocated Accordingly.
  • Daily checks (audits) ensuring scheduled work has been completed as expected and raising concerns directly with employees upon discovery.
  • Track all anomalies, discrepancies, expectation discussions and successes accurately on the variance tracker daily.
  • Consolidate variance tracker data to identify patterns and resolve reoccurring issues.
  • Continuously look to make improvements to work force planning, scheduling and look to develop “patches” as field based team expand.
  • Deliver “Planning Inductions” to all new starters and refresher briefings as and when required.

Managing absence:

  • Manage field based teams’ annual leave requests and update schedules and plans accordingly ensuring policy ratios are adhered to.
  • Report and record all sickness absences on BreatheHR and liaise with HR Team accordingly.
  • Carry out daily handovers to the person acting as “Nighttime Duty Manager
  • Ensure adequate high season cover i.e. Christmas

Out of hours support:

You'll be responsible for ensuring an effective handover to the night-time Duty Manager by communicating all changes, requirements, and decisions to support a smooth transition into the night shift. You'll also participate in the night-time Duty Manager rotation to address out-of-office queries for:

  • When work is aborted for reasons such as third party or unplanned eventualities
  • Lack of work to complete throughout the shift
  • Any health, safety, environmental and quality issues
  • Any incidents, accidents and near misses including motor accidents and reporting correctly
  • Work enquiries, such as critical tasks, traffic management etc.
  • Changes to shift patterns for the following day, such as short notice absences, extra-long shifts, rest periods etc.

PERSONAL SPECIFICATIONS:

  • Experienced in Project Management or Workforce Management with an emphasis on scheduling and planning.
  • Understanding of the Clean Water Network or other similar industry
  • Play an active part in the planning and management of projects.
  • Be a flexible member of the team, willing to work around the needs of the team and business alike.
  • To lead by example and show willingness to continue to learn and adapt to the needs of the business, clients and the team alike.
  • Support the technical and operational teams with training, guidance, troubleshooting and next steps.
  • Be detail orientated, have the foresight to deliver problem-resolutions and possess the ability to remain unbiased when assessing project work and resourcing.
  • Be confident in offering the team constructive feedback and praise without delay in a professional manner.
