Part Time - French Speaking Events Co-ordinator /Administrator
Salary: £25,000 pro rata.
Location: Coventry
Working hours: Part time - 20 - 25 hours per week - Flexible working hours
The role
I am excited to be working with a global business based in Coventry who due to business growth is looking to recruit within their marketing and operations team. Reporting into the marketing and operations manager, you will play a pivotal role in ensuring that the right people visit the events that they put on as part of their business. The role is quite diverse, so it will be great for someone who likes to plate spin and will offer full autonomy. There won’t ever be two days that are the same!
The Role
As the Events co-ordinator/ Administrator you will:
- Liaise with different overseas organisations to identify potential visitors to the events that the company put on.
- You will compile a list of qualified visitors for each event, and you will manage the VIP Lists.
- Conduct industry sector research with the view of identifying new organisations to collaborate with.
- You will write and send invitation letters and documents proposing partnerships for their events.
- Once visitor lists have been confirmed, you will support with all travel arrangements if needed, ensuring that travel too and from the events run as smoothly as possible.
- You will plan itineraries for visitors, ensuring that they meet and speak with relevant and desired people at each event.
- You will contact and negotiate with local hotels and airline providers to book rooms and achieve best rates possible. The aim here will be to form long terms partnerships with business to obtain discounted travel arrangements.
- You will ensure that confirmed visitors have completed their registration using the portal prior to event date.
- You will work closely with the marketing team and will translate marketing literature into French as and when needed.
- Take control of WhatsApp broadcasts to update visitors on details and activities surrounding each event.
- Proactively engage with visitor audiences on LinkedIn, Facebook, and any other social media platforms.
The Candidate
Our new Event Co-ordinator/Administrator will be:
- Fluent in French and English is a must! (Ideally French will be your mother tongue).
- GCSE’s or colleague qualification.
- Excellent organisational skills.
- Strong verbal and written communication skills.
- Strong service & hospitality mind set.
- Good understanding of Microsoft Office software.
