This role involves assisting the Head of Stakeholder Engagement in the planning, development and delivery of key corporate projects and supporting the trust's membership and relationships with key stakeholders.
You will have excellent communication skills and be able to work collaboratively within a small team and across a large NHS organisation. You will have experience of supporting projects, events management (or supporting events); providing administrative support to committees, working in a customer focused environment and able to work without direct supervision. Excellent IT skills are crucial to this role.

Using excellent written and oral communication skills, you will assist the Head of Stakeholder Engagement in the planning, development and delivery of key corporate projects such as the Annual Members Meeting, primary care education and trust promotional events, communicating with a wide range of internal and external stakeholders.
This role involves developing systems and processes and using databases to ensure the effective co-ordination of projects.
You will be able to effectively co-ordinate projects and other activities, working to deadlines whilst managing competing priorities and maintaining accuracy and attention to detail.
This role also involves developing systems and processes to assist the management of our stakeholders; maintaining the trust’s membership system and supporting membership communications; updating the trust website and intranet; assisting in the development of primary care education events; assisting in the development, co-ordination and running of member events; assisting in the co-ordination of Oxleas’ participation in public events; identifying prospective associate members through established networks and research; liaising with associate members and helping to promote these to services; supporting and participating in the trust’s Annual Members Meeting; supporting and arranging trust meetings with Healthwatch; and engaging widely with the public.
The role supports the Head of Stakeholder Engagement in the delivery of short-term projects.

Key tasks and responsibilities
Events project management
• Assist the Head of Stakeholder Engagement to prepare and manage the event. This could include:• Developing a range of communications and briefings to various stakeholders.
• Sourcing quotes and ordering goods and services in discussion with Head of Stakeholder Engagement – venue hire, catering, equipment, photographer, etc.
• Attending events as required (may require evening and weekend working at times) and undertake activities such as running registration desk, supporting presenters etc.
This requires close liaison with a wide range of internal and external stakeholders including Communications and administration teams.
Primary Care Engagement
• Assist the Head of Stakeholder Engagement in the development and management of primary care masterclasses.
• Build and maintain primary care stakeholder information to support this work programme.
This requires close liaison with Local Care Partnership colleagues, local Primary Care Education and Training Hubs and Oxleas clinicians.
Membership – general membership
• Maintain the membership database with accurate and up to date details of members of Oxleas NHS Foundation Trust.
• Act as first point of contact for members, responding to membership queries and signposting.
• Provide administrative support for the trust’s Membership Committee, in close liaison with the Committee Chair and Head of Stakeholder Engagement.
• Support the Head of Stakeholder Engagement in the preparation and analysis of statistical reports on the membership profile of the trust.
• Assist the Head of Stakeholder Engagement in the development, co-ordination and running of member Events and other member activities as defined by the Membership Committee.
• Assist in the development and delivery of targeted membership recruitment and engagement campaigns both internally and externally.
• Assist with the delivery of non-routine member communications.
• Source quotes and order goods and services, such as merchandising, in collaboration with the Communications team and in discussion with Head of Stakeholder Engagement.
• Maintain the public register of members.
This requires close liaison with members, Membership Committee Chair, Governance and Legal Services Officer and general public.
Membership – associate members
• Maintain the associate membership database with accurate and up to date details of associate members.
• Assist in the development and maintenance of an online directory of associate members, uploading and updating information.
• Assist in the marketing of associate membership to prospective organisations/businesses.
• Assist in the development of materials to support associate membership – stakeholder ebulletin, promotional materials.
• Help promote associate membership both internally and externally to raise the profile of members.
Stakeholder management
• Arrange and support trust representatives’ meetings with Healthwatch.
• Build stakeholder intelligence, developing systems to record and maintain information as required by the Head of Stakeholder Engagement.
• Support the development of mailshots/ebulletins as directed by Head of Stakeholder Engagement and assist with telephone marketing as required.
• Liaise with partner organisations and other agencies.
• Help build, update and maintain stakeholder engagement information on intranet.
