Mischief Worldwide Ltd (MWL) holds the rights to Mischief Projects in order to help people around the world make Mischief, and to support, develop and license the rights of all the creative individuals who contribute to Mischief work. MWL is also the Mischief hub: a central place for strategy, joined up thinking, communicating internally as a broader Mischief gang, and externally to stakeholders.
This is an exciting opportunity to join MWL as Mischief continues to grow globally. We are looking for an experienced Executive Assistant, whose primary focus will be assisting Jo Danvers, the MWL CEO and Jonathan Sayer and Henry Lewis, the Mischief Creative Directors. We need a highly organised, diligent individual who has a flexible, pro active and common sense approach to their work. Reports to: CEO & Creative Directors
What we need…
Overall Purpose of the Job
To provide comprehensive administrative support to the CEO of Mischief Worldwide Ltd (MWL) and the Creative Directors of Mischief. Also to support the MWL team in the coordination of any ad hoc MWL projects.
Key Responsibilities
Assistant and Administrative Support:
- Complex diary management, coordinating and minuting meetings when required for the MWL CEO, Mischief Creative Directors and wider MWL team where appropriate
- Horizon scanning; look ahead for forthcoming events, projects and productions, flagging periods to hold off for casting, recast rehearsals, milestones & events etc.
- Manage arrangements for all UK and international trips, including travel, accommodation, meetings and theatre tickets for the MWL CEO and Mischief Creative Directors.
- Act as a point of contact for all phone, email and face to face enquiries relating to the work of the Creative Directors and CEO, responding on their behalf as required.
- Process ticket requests from Creative Directors and CEO, other company members and associates.
- Manage correspondence on behalf of the CEO.
- Manage public enquiries received via the online contact form, liaising with relevant teams to fulfil requests where needed.
- Write and proof-read additional material on behalf of the CEO and Creative Directors.
- Support CEO with preparation for quarterly board meetings including taking, editing and distributing minutes.
- Send updates to Mischief Theatre Ltd (MTL) shareholders and Creative Associates.
- Keep across company IT support needs, including IT requirements for new employees.
- Take the lead on communicating with IT account manager and discuss system/security needs with CEO
Finance:
- Manage MTL bank account including making payments, reconciling paperwork and filing bank statements
- Manage splits of income to original participants and contributors from MTL
- Compile accounts information and distribute profit shares/investment returns.
- Support the Mischief Consultant Financial Director administratively where required with regards to MWL/MTL expenses and reconciliation
- Handle petty cash, reconcile expenses and card statements on behalf of the Creative Directors and CEO.
- Responsible for analysing credit card statements and sending supporting documents to Mischief’s Consultant FD.
Licensing:
- Support the CEO and Licensing Manager in contract administration
- Coordinate with replica licensees in the arrangement of MWL representative visits
- In collaboration with the CEO and Licensing Manager, oversee the coordination of scheduled Partners Days.
Creative Development:
- Support the Creative Directors and CEO in drafting emails to agents and potential partners, as well as researching potential projects
- Coordinate Mischief Development Meetings – setting up meetings, communicating with members, taking minutes and following up with actions.
- Maintain the Development Log
General:
- Maintain confidentiality at all times, particularly with regard to embargo periods and developing work.
- Liaise with the Kenny Wax Productions (KWP) General Management staff to support communication between KWP and MWL regarding Mischief productions.
- Work collaboratively with the KWP production office and maintain effective liaison with all departments and show staff as required
- Coordinate ad hoc projects on behalf of the CEO and Creative Directors as necessary, coordinating relevant teams and working with the Mischief Consultant Finance Director on creating, updating and reconciling budgets where applicable
- Responsible for coordinating internal hospitality and setting meeting rooms for Mischief meetings
- Actively uphold Mischief values and contribute to a collaborative, friendly and supportive working environment
- Manage the MWL holiday diary
- Any other projects as assigned by the CEO

Who we need….
Essential:
- Demonstrable experience of supporting a busy Executive team, with a minimum of two years equivalent experience
- Proven administrative and planning experience to ensure the smooth running of the Executive team
- Methodical administrative and business management skills
- Excellent interpersonal skills and the ability to work as part of a team, as well as independently
- Excellent oral and written communication skills with meticulous attention to detail
- Excellent numerical, organisational and time management skills
- Excellent independent judgement
- Excellent IT skills including proficiency in Microsoft Office

MWL is based in the Kenny Wax Productions (KWP) office at 8th Floor Imperial House, 8 Kean Street, London, WC2B 4AS. Hybrid and flexible working is subject to agreement and policy.
- Annual Holiday: 25 days per year, plus public holidays
- Working Hours: Normally 10am to 6pm Monday to Friday, with a paid lunch break of one hour each day. Some occasional evening and weekend work will be required.
