An exciting opportunity has arisen to join our Data Team as an Executive Assistant to our Group Head of Data. The role is required as right-hand person to the Group Head of Data, supporting them with the smooth running of the department. Confidentiality is crucial to this role.

Role
The Executive Assistant role to our Group Head of Data will act as a first point of contact for the Group Head of Data with colleagues in Knight Frank, Group Heads, Office Managers, PA and the team. Representing them using discretion and confidentiality at all times and being positively perceived as their representative. You will be working exceptionally closely with the Group Head of Data so as to be in a position to anticipate their needs and be able to help prioritise requests for time and attention from all areas of the business. The Data team is a growing team, who are an integral part of Knight Frank’s strategic ambitions over the coming years and the Executive Assistant will play an important role in ensuring that projects, meetings and actions are delivered in an timely fashion.
Responsibilities
- Acting as an ambassador for the Group Head of Data at all times and carrying out all personal assistant duties in a discreet, diplomatic and efficient manner
- Diary management – taking full control of the Group Head diary, making appointments and arrangements for all meetings with Knight Frank Leaders and colleagues
- Acting as the point of contact through email and telephone management and being the point of contact for the department
- PA support to Group Head including proactive diary management, organising and minuting meetings, document production and travel arrangements
- Preparation for meetings, ensuring that the Group Head has all relevant documentation ready for pre-reading
- Experienced at supporting a line manager with a large, multi-disciplined, department
- Managing the onboarding and offboarding of new joiners and leavers to the department on behalf of the Group Head
- Making sure the new joiners are inducted into the department with an induction programme
- Monthly reporting of current headcount and vacancies
Key Experience Required
- 4+ years Personal Assistant experience
- Advanced in Word, PowerPoint, Outlook and Excel
