Executive Assistant to People &Culture Director

We are looking for an Executive Assistant to join our executive team supporting our People & Culture Director. This role will be instrumental in providing a personalised and effective partnership to enable a focus and achieve strategic goals and company initiatives

Skills and experience you'll bring to us
We would like you to bring previous experience in executive assistance as well as maintaining a professional and positive attitude. You will be proactive and be able to work on your own initiative but also contribute to working well with the team.
You'll have an excellent attention to detail and efficiency in reporting with use of Microsoft Power BI being advantageous. Previous shipping or human resources knowledge and experience is helpful, however, we will always support learning and training our people.
How you will help us and what you can expect
Typical contribution for this role includes providing essential daily support to the People & Culture Director by making arrangements and managing diaries in an accurate and timely manner to drive business efficiencies. You will contribute to maintaining a positive atmosphere within the department to support proactive change within the business. You will also filter and attend to the day-to-day functions that are part of the People & Culture Director's role so that they can focus on the high-level leadership and strategy functions.
Further core responsibilities include:
- Act as the key focal point for the department for queries directed for People and Culture Director
- Provide full executive support across the Directorate, ensuring meetings pre-reads, documents, minutes, actions are proactively managed.
- Diary management for the People and Culture Director and other members of the HR team where required.
- Support the People and Culture Director with executive commitments and HR department business management, ensuring business cycle deadlines are met and budget, financial needs are collated and prepared.
- Support the People and Culture Director and/or HR Management with ad-hoc project needs.
- Work collaboratively with EA's across the MSC Group to provide continuity, support business events/initiatives and improve efficiency.
- Supporting the Executive team with cross business coordination of professional presentation material for internal and external use, ensuring all content is accurate and fully brand compliant
- Arrange and attend meetings where required including all associated requirements- such as taking minutes, agenda creation, assessing availability, arranging refreshments and travel. Provide holiday cover for the other Executive Assistants
