Executive Assistant – West End - £60k

Wise May are looking for an Executive Assistant to join our client, an extremely busy Investment company based in the West End.
Duties to include:
- Optimising the Chairman’s time by planning and coordinating schedules, resolving conflicts, anticipating any difficulties, negotiating and allocating time to priorities
- Building relationships with relevant counterparts, partners, assistants and office managers across the leadership team
- Constantly and clearly communicating to ensure meetings run to time and the diary builds in realistic time frames for travel, briefing and the meetings themselves
- Coordinating and collating briefings under the guidance of the Chiefs of Staff, making sure that the Chairman is provided with the relevant papers or briefing in advance of meetings
- Actively monitoring and managing the calendar and inbox. Being able to identify and then deal swiftly with urgent enquiries by escalating them to the appropriate team member as required. This involves some out of hours monitoring
- Responding to invitations and coordinating with event organisers to ensure quick replies and liaison over details
- Supporting the team with the Chairman’s lunches and dinners networking programme, including invitation management, coordination with guests and briefing requirements
- Supporting with the Chairman’s business travel and accommodation, ensuring co-ordination with the relevant offices
- Building a network across the business and wider industry to support the smooth running of the office
Skills:
- An ability to work collaboratively and flexibly with others and within a dynamic team, often to short deadlines
- Strong interpersonal, relationship building and communication skills (both verbal and written)
- Ability to take dictations and draft high-quality correspondence
- A high degree of discretion, with an understanding of the need for and importance of confidentiality in a highly sensitive environment
- Confidence to engage personally on a daily basis with the business’s most senior leaders and high-profile clients and contacts
- Excellent judgement and approach to situations, tasks and problems
- An ability to quickly but effectively deliver to tight deadlines, whilst remaining professional in a pressured environment
- A flexible outlook and approach, coupled with a real enthusiasm
- Excellent administration and IT skills, especially Outlook.
- An ability to embed themselves within the business to understand the firm’s strategy, direction and approach
- Proficiency in taking dictation is desirable
