Executive Officer
An opportunity has arisen for an experienced Executive Officer to join one of the leading Unions for the Educational Sector based in Belfast.
This is a Full-Time, contract 12 months – with an immediate start.
Hours of work: 35 hours per week (may require some work outside of normal working hours)
With a salary of £30,721 - £31, 352 per annum (dependent on experience)
Essential Criteria:
- An understanding of the company objectives and a strong knowledge of the broader education and trade union sectors within which the Organisation operates.
- Expertise in and knowledge of a broad range of issues relevant to primary and post primary teachers.
- Knowledge on Databases/CRMS.
- IT proficient with the use of Microsoft Office packages.
- Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels.
- Ability to work as part of a team as well as on your own initiative.
- Ability to manage and prioritise a busy workload.
- Experience of dealing with sensitive, confidential and personal data.
Main Duties and Responsibilities:
- Managing the integrity and accuracy of the database on a daily basis
- Processing of online and paper applications and follow-up of incomplete / incorrect applications
- Liaising with Departments re membership subscriptions
- Uploading the monthly deduction
- Generating monthly list of new payers
- Providing details to the Department of membership payment cancellations
- Reconciling monthly files from of payments received
- Following up on exceptions
- Setting up and managing of all external membership payers via Direct Debit (DD)
- Creating a DD file, within monthly deadlines and submitting for collection of membership payments
- Following up any necessary data updates resulting from processing of direct debit files
- Liaising with members re non-payment of membership direct debits
- Updating BACS payment on the database system
- Updating records of members payment methods
- Managing all Associate and Honorary Memberships
- Group emails to members as part of regular data reviews (e.g. non payers)
- Providing statistics and reports generated from the database
- Monthly reports of overall membership figures
- Monthly reports to include new joiners, readmissions and resignations
- For mailing purposes, preparing excel sheets of members who have opted to receive Printout magazines and diaries to the Communications team when requested
- Preparing and maintain regular reports on membership
- Providing statistics on various membership categories or types as requested
- Running monthly and quarterly branch and district allocations
- Providing reports to external auditors on a yearly basis
- Providing support to members and database users
- Testing the database prior to and after updates and any other modifications to the functionality of the database
- Raising and working on issues arising within the database through a ticketing system connected to our Database provider and Head Office database team
- Participating in regular calls and emails with the CRM Project Team about ongoing CRM change requests and issues
- Dealing with queries by phone or by email from members and other stakeholders at all levels
- Contacting and dealing with Officials in the payroll section, and with other agencies where necessary
- Login support for members accessing the website
- Admin support e.g., general correspondence, redundancy letters, filing, photocopying, arranging appointments
