Overview of Role
Crisis Action is looking for a high-achieving, proactive individual to lead on all aspects of Crisis Action’s Finance. To lead on a smooth and efficient running of the payroll systems and the day-to-day functioning of the finance functions. To lead on a range of financial processes, including financial planning, preparation of year-end accounts, month-end processes, and management reporting and to ensure Crisis Action’s financial systems operate at an optimum level.
Key Responsibilities
Management Accounts
Lead on producing the monthly Consolidated Management Accounts for Crisis Action on a timely basis in line with our Finance Manual.
Lead on producing the monthly Management Accounts for each of Crisis Action’s 7 offices across the world. (For a list of the locations see here).
Carrying out a first review of the monthly Management Accounts and scrutinizing the numbers, providing a detailed explanation of the variances.
Working closely with the Finance and Operations Director in preparation of Key Performance Indicator and cashflow statements.
Working closely with Office Directors in each of our offices, including holding monthly meetings, to help manage their Management Accounts and provide first analysis of the numbers.
Budgeting
Support on the preparation of the International Office Budgets, providing detailed breakdown of the budget numbers and an explanation to substantiate the numbers.
Support budget holders to prepare their budgets.
Produce a consolidated budget for review by the Finance and Operations Director.
Support the Finance Assistant in uploading the approved budgets onto the accounting system (Sun Systems).
Year End Accounts
Lead on preparation of the year end file for Crisis Action Limited. Produce a schedule for all balance sheet control accounts. Prepare analysis of income and expenditure, cashflow statement and debtors and creditors, comparing against previous year and provide explanation.
Ensure the latest accounting standards applicable to the organization are applied.
Prepare the first draft of the UK Statutory Accounts.
Support on preparation of the US, Nairobi and Addis Audit work, compiling information for upload and help support the Finance and Operations Director in preparation of the Statutory return and provide explanation for the results.
Work with the external Auditors for UK, Nairobi, Addis and US to provide information and explanation they require.
Payroll
Manage the monthly payroll system for the UK and US offices, ensuring accuracy and timely submissions.
Processing the monthly pension contributions for the UK and US offices online on a timely basis.
Liaising with the Payroll and Pension providers to ensure all legislation and returns are met.
Processing the monthly payroll journals for all other CA offices.
Balance Sheet Control Accounts
Completing the monthly reconciliation for balance sheet controls accounts.
Maintaining a monthly reconciliation file for sign off by the Finance and Operations Director
Managing the Staff Expenses and Invoice Processing Systems
Ensure the smooth running of the staff expense system (Concur).
Ensure smooth processing of invoices into the accounting systems, and timely payment of staff expenses and suppliers.
Board Finance Sub-Committee (FSC) Papers
upport the Finance and Operations Director in preparing the Board FSC papers on a quarterly basis. Attending FSC meetings and presenting papers.
Systems Control and Development
Support the Finance and Operations Director in updating the Finance Manual and ensuring adherence by all staff via proactive scrutiny of transactions.
Develop and design effective financial reports to meet the changing needs of the organization. This will include the design of statutory reports requirements of the different offices using the report writer of the Accounting System.
Help the Finance and Operations Director in streamlining finance systems and processes throughout the organization. This will include integrating the payroll system and finance system.
Support the Finance and Operations Director to ensure the integrity of the finance systems and processes and the banking system are effective.
Bank and Treasury Management
Monitor bank balances to ensure cash requirements for the organization and plan timely currency transfers to maintain the operating activities of the different offices.
Manage the relationship with banks, monitoring issue resolution and ensuring service provided remains appropriate; manage the addition/removal of bank signatories and issue/cancellation of credit cards on instruction from Finance and Operations Director.
Ensure adherence to the company's investment policy and ensure investment fund managers comply with the ethical standards set within the policy.
Donor Reporting
Prepare financial reports for donors.
Prepare grant budgets, liaising with different campaign teams and our Development Team as necessary.
Lead on preparation of donor audit work.
Work with donor auditors ensuring all information and explanations is provided and satisfactory.
Support on liaising with donors to ensure a thorough understanding of their reporting and compliance requirements. Provide training to staff as necessary to ensure compliance.
Monitors spend against restricted grants, flagging any potential under-spend to ensure steps can be taken to mitigate/amend grant agreements as appropriate.
Monitoring and maintenance of a bespoke ‘double dipping tool’s, ensuring no staff are double funded by any of our donors.
Ad-hoc grant-specific work as necessary.

Lead on project management as and when required as agreed with the Finance and Operations Director.
Teamwork
Helping to ensure the Finance Team works optimally as a team, monitoring each other’s priorities and providing support and feedback as necessary.

External: Auditors, Banks, IT support, Payroll providers, Fund Managers, and Sun systems support and development
Terms and Conditions
Salary: GBP 50,000 per annum
Benefits: 25 days of paid annual leave, rising to 30 days after three years, and three months’ sabbatical after five years. 4% pension fund contribution with an option for additional matching contribution.
