Job description

Job Summary
We are seeking a Payments Assistant to assist in the accurate and timely processing of orders and payments within the Payments Team.
Applications close on Friday 12 January. We are looking for a candidate to start as soon as possible.

Main Tasks and Responsibilities
Processing payments, ensuring that invoices are correctly authorised and coded per the chart of accounts
Ensuring that paperwork is saved/ an appropriate audit trail is in place for all payments made
Raising queries/ requesting additional information to ensure they are allowable under our Charity expenditure guidelines and fall within the remit of the specific fund
Placing orders with OUH Trust procurement and Clinical Engineering teams, and directly with suppliers
Dealing with payments queries from suppliers and payees, providing a helpful and high-quality service
Ensuring that enquiries are dealt with promptly, effectively, and in a warm and friendly manner. Ensuring that information and advice provided is accurate
Ensuring, along with the Payments Officer, that emails to the ‘payments’ inbox receive a response within 1 working day
Helping prepare the weekly BACS listing, plus arranging any ad hoc payments for approval as required
Assisting in the resolution of disputes and outstanding invoices, and with the reconciliation of balances owing to the suppliers
Assist the Finance Manager – Payments with year end and audit preparation
Identifying improvements to our processes
Any other duties, which may be delegated by the Finance Manager – Payments and Head of Finance as required.

Key requirements
Proven ability to complete data entry tasks quickly with a high degree of accuracy
Self-starter, able to work accurately without constant supervision across a number of tasks
Good communication and interpersonal skills to engage with people at all levels both internally and externally
Good attention to detail
A good team worker, willing to be flexible and take on a range of tasks
High standard of integrity and confidentiality
IT literate with solid MS Office skills, especially Excel and email
Purchase ledger experience is not essential as full on-the-job training will be provided.
