Role Overview
The float EA provides full Executive Assistant cover during any absences and you will be moving around the business as and when required, ensuring that all teams are sufficiently covered. The duties include but are not limited to all of the responsibilities listed below. This position would suit a confident and highly proactive EA who can hit the ground running and is flexible with excellent organisational and communication skills and proven experience operating in a fast moving, growing business.
Key Responsibilities
- Diary management, across global time zones.
- Scheduling / Coordinating meetings (external and internal):
- Preparing internal rooms and coordinating with required stakeholders
- Printing and preparing relevant materials
- Coordinating global travel and accommodation requirements for the team.
- Produce visa documentation when required.
- Supporting visitors from international offices.
- Liaising with Reception to arrange meeting rooms, guest access and hospitality as required.
- Assisting EA's to clear their team expense reports each month in line with company policy.
- Process invoices and retain records to ensure timely payment
- Sort post and deal with routine enquiries and confidential correspondence.
- Assisting with the organisation of team social events.
- Printing & binding of various documentation and presentations.
- Providing adhoc support to other EA's and administration colleagues as required.
Technical Skills
- Excellent organisation and communication skills
- Proficient knowledge of Microsoft Outlook, Word and PowerPoint - Previous experience using Concur would be desirable but not essential.
- Proactive and able to work on own initiative as well as part of a team.
- Decisive, resourceful and quick to prioritise.
- High attention to detail
- Flexible and adaptable
- Resilient, with strong team focus
