Job Summary
The General Accountant is responsible for managing the pre-opening accounts for the hotel, including but not limited to recording financial transactions and maintaining the payroll and other systems necessary to provide fiscal control and up to date/accurate reporting. Collaborating with others in the pre-opening team to assist in preparing monthly and yearly financial reports as well as managing, maintaining and encouraging best practice.
Essential Duties and Responsibilities
To manage the adherence to financial policy and procedure of pre-opening accounting. To ensure that day pre-opening financial information is accurate, timely and relevant.
General
- Comply and adhere to the Rosewood company policies.
- Take on other tasks in addition of the ones stated, in a reasonable framework.
- Be a “brand ambassador” at all times and ensure brand integrity and clarity are always maintained.
- Model the company’s culture, vision, mission and core values at all times.
- Take a proactive approach to the management of pre-opening financial transactions, anticipating potential opportunities.
- The General Accountant is in charge of maintaining the pre-opening G/L and Sub Ledgers including the payable ledgers and journal & journal voucher entries, and for managing payroll for the initial pre-opening team.
- The General Accountant is responsible for ensuring all payable invoices are matched against purchase order, recorded responsibly in the accounting system, matched against budget or forecast and reported on a timely and accurate manner.
- Assist the Director of Finance Business Partner with the setup of both pre- and post- opening accounting related IT systems.
- Prepare monthly prepaid and accrued expenses journal vouchers.
- Calculate and review payroll and journalize as labour expense.
- Maintain the Capital Expenditures ledger and reconcile and report on Capital Expenditures on a monthly basis
- Complete bank and VAT reconciliations as well as other balance sheet reconciliations as required
- Maintain the company’s contract database
- Maintain and reporting on cash flow forecasts
- Maintain and manage company credit cards
- Calculate and pay business and payroll taxes as needed.
- Verify that all ledgers and supporting documentation are filed and in order.
- Prepare the necessary documents for internal and external auditors in their audit of accounting the hotel.
- To oversee the orderly storage and filing of records onsite and offsite
- To attend operational meetings in the absence of the DFBP
- To undertake cross-training in other areas of accounts to enable career development and to cover during emergencies, sickness and annual leave.
Required skills
- Outgoing, career-minded, mature and ability to self-manage allocated tasks
- Having extensive experience in a similar role in a hospitality related business
- A team player, tactful and sensitive to employees needs
- Computer knowledge, proficiency with MS Office. Knowledge of SunSystems, Opera, Micros, Birchstreet and Fourth is advantageous.
- Qualified accountant is preferred
Confidentiality
- Whist working for the company there will be access to a wide variety of confidential information concerning the company, guests and associates. It is vital that all such information remains confidential and must not be disclosed to anyone outside the company, guests and associates, unless otherwise stated.
Health & Safety
- Be aware of and comply with safe working practices as laid down under the Health and Safety Act as applicable to your place of work. This will include your awareness of any specific hazards at your work place.
- The wearing of appropriate protective clothing provided by or recommended by the Company will be obligatory.
- Report any defects in the building, plant or equipment according to hotel procedure.
- Ensure that any accidents to associates, guests or visitors are reported immediately in accordance with correct procedures.
- Attend six monthly Statutory Fire, Health & Safety training and be fully conversant with and abide by all rules concerning Fire, Health & Safety.
