Role Purpose:
Assist the Organisation with an Archive Project to ensure the onsite and offsite records are correctly catalogued. The post-holder will contribute to work to develop this project, and a key element of the newly-created Archiving Assistant role will be to develop, create and maintain a comprehensive catalogue for the archive as a first step towards its better management and wider use. To ensure that the GOC meets its statutory obligations and acts within established policies regarding GDPR, data protection and our document retention/management policies. Providing effective advice and support to staff, consistent and effective information according to our retention and governance policies.
Key Accountabilities:
- Administration of all current archive records.
- Requesting archived material back from storage for analysis of compliance.
- Evaluate records for preservation and retention.
- Assisting other departments with compliance of in-house archive storage.
- Observing and ensuring good practice in document handling and adherence to data protection requirements by all users; and in accordance with each departmental retention policy.
- Liaising with the Governance team supporting staff in data retention activities.
- These responsibilities will require the post-holder to access shelving at various heights, manual handling of boxed and crated material from (offsite and in-house) archive storage facilities, and handling of large and fragile items.
Essential skills/Experience/Qualifications:
- Educated to GCSE level or equivalent, or through vocational experience.
- Exceptional organisational and planning skills, and the ability to prioritise workload.
- Archive and Information governance knowledge and experience
- Good written communication skills with a good attention to detail
- Good levels of numeracy and the ability to interpret statistical information.
- Working knowledge of basic IT e.g. Microsoft Word, Excel, Outlook etc.
- Experience of drafting and presenting and reports (Desirable).
- Experience on advising the ongoing organisation and storage of material to encourage organisations to plan for future archive needs. (Desirable)
- Regulatory experience (Desirable)
