This high profile entrepreneur is looking for an experienced EA to support him across his various businesses. The role will require global travel but the main base for the role will be Vienna. This Founder is in his 30’s and his businesses span luxury goods, events, luxury lifestyle and more. As his businesses continue to grow, he requires someone to work alongside him to organise his life and make him as efficient as possible. The role will incorporate traditional EA responsibilities along with lots of events work, ad hoc projects and global travel. Key responsibilities are as follows:
- Complex diary management, including planning and scheduling meetings, managing time to best effect
- Organising travel itineraries; flights, transfers, accommodation etc
- Inbox management for the Founder (he has 4 inboxes) prioritising relevant emails and responding where appropriate in a timely manner. Key priority is to make sure that nothing is missed
- Being the communication hub between the Founder and his various businesses
- Acting as gatekeeper / point of contact for the Founder and being his eyes and ears
- Preparing internal and external reports and documentation as needed
- Building and nurturing relationships with stakeholders, clients and key contacts
- Assisting with internal and external events (including organising logistics, people management, travelling to and attending events to help oversee and act as a representative of the company and troubleshooting on the day)
- Sorting and managing all expenses/invoices
- Conducting research as directed
- Organising and maintaining files and records
- Upkeep of contacts
- Assist with social media /marketing / PR
- 10% private PA tasks (e.g. bbooking personal appointments/reservations, sourcing gifts, booking travel, handling household bills, property management)
The role requires excellent communication skills both verbal and written, and someone who has high emotional intelligence and understands the need to nurture relationships (often with HNWIs). It is a very fast paced role and will require someone who can work well under pressure and remain calm at all times. The Founder is keen to find someone who is friendly, positive, down to earth, with a sense of humour who is totally discrete, professional and reliable. This is an incredibly exciting role supporting a dynamic and really nice Founder and for the right person, there is lots of long-term scope to grow and progress.
