Job Introduction

We are recruiting for an exciting new role of a Global Events/Business Coordinator to join our Rapport team, supporting our client across EMEA, LATAM and APAC areas.

Our client is one of the Big Five American Information Technology Companies, specialising in consumer and enterprise software products. This is a great opportunity to get involved in the global events and business coordination, providing coverage and best practice support.

This is a hybrid, full-time, permanent role (40 hours per week), with full flexibility around the working times to meet the time zones as per the above-mentioned areas. The successful candidate will need to be based in our client’s offices near Paddington once or twice a week and will hold the job title of a Briefing Coordinator.

Main responsibilities

  • Managing briefings, tours, events, internal and external meetings, and providing a warm welcome to the clients and visitors when on-site
  • Working with the Lead Briefing Coordinators to plan and execute monthly trainings to ensure standardisation in process across centres and to include new process delivery when required
  • Liaising with the sales, hospitality/catering and facility teams to ensure smooth event planning and operations
  • Ensuring the playbook/quick reference guide, support tools and materials are up to date with all relevant information required and usable for each location
  • Collating feedback and recommendations for enhancements to workflows, processes, and systems enhancements
  • Undertaking projects as directed by the Regional Manager and completing ad-hoc requests as required

The ideal candidate will

  • Ideally have 3-5 years’ experience in Customer Service, and 2 years business events planning
  • Have excellent communication skills in local language and English, written and verbal
  • Be highly proficient in MS Office, including Outlook, Word, Excel, PowerPoint; and able to quickly learn new tools/software
  • Have an outgoing personality and be able to easily build rapport with key stakeholders (internal, external and VIPs), demonstrating professionalism and client focus
  • Be assertive, self-motivated, proactive, adaptable, organised, flexible, with great attention to detail and ambition to learn and grow
  • Have the ability to work independently and as part of a large team
  • Be creative, process and task-driven, resourceful with a can-do attitude and the ability to multitask
  • Display excellent personal presentation and interpersonal skills
