This busy secondary school in South London, part of a small Trust, is seeking to appoint a proactive and strategic senior school administrator. The Head of School Administration will lead and co-ordinate all administrative functions and contribute to the smooth running of the school.
The role will be to provide a general support service to the Headteacher and SLT undertaking specific operational tasks and projects. This would include maintaining personal diaries, operational rotas, the academy calendar and providing logistical support for activities and events.
Duties include:
- Working directly with the Headteacher, providing day-to-day PA services and undertaking line management responsibilities where appropriate including management of administrative staff, ensuring the school office is organised efficiently.
- Taking a lead role in the organisation and monitoring of support systems/procedures/ policies.
- Supporting the organisation and effectiveness of academy committee meetings & visits including preparing papers in a timely manner and taking minutes at meetings if required.
- Producing reports and documents for various stakeholders as specified by the Executive team.
- Providing administrative support for school trips and visits.
- Responsibility for the management of expenditure within an agreed budget.
- Providing a responsive telephone service and welcome for personal callers, ensuring controlled entrance and exit, a polite and welcoming approach to visitors and that safeguarding procedures are adopted in full.
- Dealing appropriately with incoming correspondence; date record, deliver and track mail. Ensure that mail is duly dispatched; urgent matters are promptly referred and dealt with; action and reply to routine correspondence / messages.
- Using and maintaining relevant IT systems (e.g. SIMS) producing reports and information as required
- Providing administrative support to ensure that efficient management of staff absence, annual leave and the school cover system are documented correctly.
Educated to degree level or equivalent, the Head of School Administration will have a strong track record in the delivery of a high quality administration service within a school or a multi-site function. Naturally you will possess first class ICT skills, including MS Office, together with highly developed communication skills, both written and verbal. You will demonstrate tact and firmness in a variety of situations, make good judgements and have the ability to develop positive working relationships quickly.
