REED HR is delighted to support our Belfast based client who wishes to recruit a Part time HR Administrative Assistant to join their team where you will provide an effective and efficient clerical and administrative support within the Human Resources Department.
The Role:
- Responsible for the opening and distribution of the post internally and externally within the Department. Ensuring that confidential and sensitive post is handled in accordance with the Departments procedures.
- Responsible for ensuring the accurate maintenance of the departments manual and electronic filing systems with agreed procedures relating to security and confidentiality to include archiving in line with GDPR Principles.
- Provide clerical and administrative support to the Human Resources Department, in relation to all aspects of the HR functions.
- Ensure that complex and non-routine enquiries are brought to the attention of the Senior HR Advisor for them to progress and resolve in a timely manner.
- Ensure accurate date input into the HR databases to include Pams, Locate a Locum, Pharmapod and Numark and ensure the information is kept up to date.
- Produce reports in a timely manner.
- Record and transcribe minutes of meetings as and when required.
- Assist in the preparation of presentations and handouts using Power Point application.
- Organise appointments and meetings and to maintain efficient diaries for the Department.
- Assist in the recruitment interview process as and when required.
- Provide administrative/reception support to the Senior Management Teams as and when required.
- Co-ordinate Health and Safety Databases and documentation in line with appropriate legislation
- Any other duties which be assigned by the Senior HR Advisor or Director of Operations.
Essential Criteria:
- 4 GCSE’s to include English Language at Grade C or above or equivalent
- One year’s relevant experience within a busy HR Environment in the past five years.
- Experience in the use of HR Databases
- Significant experience of Microsoft Office packages
- Be able to work as part of a team.
- Be able to work under pressure.
- Good communication skills both written and oral.
- Effective organisational and time management skills.
- Flexibility with working hours to meet service needs.
Desirable Criteria
- Experience of minute taking
- Experience of Pams
The hours are 28 and flexible. Ideally 2 full days Mon and Fri 9-5.30 or 8.30 - 5.00 pm with 30-minute break.
The other 12 hours are flexible - where you can work half days or another full day.
You must be available to work on a Friday.
Rate of pay is £11.60 per hour.
