This role is a fixed-term contract until end of December 2024. The start / end time each day can be flexible, between 9am – 5:30pm. Your Role
Working in close collaboration with HR colleagues to provide a full administrative support to the People and Culture Team, assisting the team in delivering a positive, proactive, and outward-facing service to War Child UK. The primary focus of this role is supporting employee lifecycle administration, recruitment administration and responding to basic HR queries in a fast-paced environment.
The HR Assistant will be able to pragmatically manage a highly variable workload with competing priorities whilst maintaining attention to detail, delivering to deadlines and the ability to self-motivate. The role holder will be an effective communicator at all levels with both colleagues and external stakeholders with integrity. They will be handling confidential information and data, where organisational skills are key. In addition, they will be able to flex their style and approach based on what is needed, with a pragmatic approach. They will be working as part of a small, high-performing team who will always be available to support and flag potential issues to.
Your Responsibilities
- Provide effective HR administration support relating to the employment lifecycle; onboarding, induction, probation, appraisals, leavers and exit administration.
- Through our Applicant Tracking System (ATS), coordinate the administrative recruitment processes from posting job vacancies, scheduling interviews, liaising with hiring managers, whilst ensuring a positive candidate experience throughout.
- Monitor the careers inbox and responding promptly to candidate queries in a pleasant manner.
- Support hiring managers with initial sift / screening of candidates against pre-determined criteria.
- Coordinate the onboarding for new joiners in line with our safer recruitment procedures including DBS, reference and right to work checks.
- Ensuring the HR system accurately reflects current staff data. This includes processing leavers, contractual amendments, expiring documents, updating training records and generating standard letters. Act as first point of contact for HR system access requests.
- Maintain confidentiality and professionalism at all times when dealing with information relating to employees and candidates.
- Assist with the coordination of HR related events, training, and meetings
- Maintain the HR policy and templates library on SharePoint.
- Undertake general HR tasks as required and appropriate to the role.
- Provide ad-hoc office administration support, including placing stationery orders.
- Coordinate invoice processing HR and office-related invoices in line with financial policies and procedures.
- Contribute to creating a culture committed to the safeguarding of children and adults and compliant to WCUK’s Safeguarding and PSEAH (Protection from Sexual Exploitation, Abuse & Harassment) Policies.

You Are
- Experienced in working in a busy HR and/or recruitment team with experience of working with and maintaining HR and Recruitment systems.
- Strong interpersonal and communication skills – able to communicate effectively verbally and in writing with a variety of people from candidates to hiring managers to Directors, and the ability to work effectively as part of a team and build good working relationships at all levels.
- Proactive and responsive to the needs of hiring managers and candidates to provide a seamless service and create a positive candidate experience which enhances our reputation in the marketplace.
- Able to pragmatically manage a highly variable workload with competing priorities whilst maintaining attention to detail, delivering to deadlines and the ability to self-motivate.
- A good base knowledge and understanding of current employment law to ensure all administration tasks are completed compliantly.
- Exceptionally organised with the ability to produce high quality outputs in a short timeframe.
- Able to understand and follow written policies and procedures, maintain confidentiality, and securely protect data with an attention to detail with the ability to process and update information accurately.
- Flexible and have the ability to demonstrate a professional and measured approach and discretion in dealing with highly confidential information.
- Able to use MS Office package (particularly Word, Excel, Teams, SharePoint and Outlook) at an intermediate level.
