Job description

This position represents an excellent opportunity for an experienced and motivated individual to contribute to the day-to-day running of a busy boarding school. 

Glenalmond College seeks to appoint a suitable candidate from January 2024.  This position is full-time and will ideally suit a candidate with experience working in a public or private sector organisation who has experience at a similar level. 

The Human  Resources Officer is responsible for overseeing all staffing matters at the College and for providing an efficient and effective HR service to all departments at the College. This will be done with the close support of the HR Administrator. The role of  Human Resources Officer is responsible for running and maintaining all aspects of the HR function, including payroll, recruitment and selection, employee relations, performance management, immigration and onboarding, absence management, and compensation and benefits. The Human Resources Officer is a key member of the administrative and support staff with direct responsibility for supporting the  College Senior Leadership Team.

Main Responsibilities1. Recruitment 

• Administer the recruitment process, including both internal and external vacancies, organising and supporting interviews, issuing offer letters, and providing feedback to unsuccessful candidates, where necessary 

• Facilitate the Protecting Vulnerable Groups [PVG] application process with Disclosure Scotland  for all new staff 

• Facilitate applications to the General Teaching Council for Scotland [GTCS] process for new  teaching staff 

• Support the Chief Operations Manager, deputy warden, and HR Administrator with the onboarding and induction process for new staff.

• Ensure that the probation policy is followed for all new staff and that line managers are supported where staff are not meeting expectations 

• Maintain an understanding of the visa application process for staff and manage the College’s  status as a sponsor 

• Ensure that the College’s safeguarding responsibilities are fulfilled, including staff complete  safeguarding training, ensuring safer recruitment practices are followed 

2. Administrative Support 

• Maintain all internal HR processes and procedures to ensure an efficient HR service is provided to College staff 

• Ensure that comprehensive employee records, electronic and paper, are maintained and kept  secure and confidential and that retention is GDPR-compliant 

• Responsible for the production of HR data and reports 

• Ensure that Glenalmond College HR policies are compliant reflect best practices, and are reviewed and updated annually, including the development and introduction of new policies 

• Oversee and monitor the issuing of all personnel-related letters and communications to employees, including offer letters and contracts of employment 

• Maintain the HR elements of monthly payroll . Work closely with the Head of Finance so that monthly payroll can be verified and approved efficiently.

• Facilitate the the holiday and leave process for all staff ensuring that the College’s Absence Management Policy is applied consistently and fairly 

• Any other reasonable tasks as delegated by the COO and Deputy Warden
The Ideal CandidatePerson Specification 

Education 

Educated to an appropriate level.  An appropriate HR qualification [CIPD] & Chartered membership of CIPD are desirable.

Experience 

Proven track record in an HR administration role.   Working in an educational setting [preferably independent].  Proven track record of providing HR support to employees/employers 

Working knowledge of UK & Scottish employment law.  

 

Skills & Aptitude  

Excellent social and diplomatic skills 

Excellent written and spoken English. Ability to prioritise with good organisation skills. Ability to work independently. Excellent administrative skills. Attention to detail and accuracy. IT skills, including the use of Microsoft Office and Google G-Suite.
