Job description

Role purpose
The role of the HRIS Business Partner is to enable the continuous optimisation of Workday and employee experience, ensuring alignment with business priorities and functional roadmap. The role will be required to partner closely with business Subject Matter Experts and Centres of Excellence to identify opportunities for enhancements within their remit and capture requirements for system design.
Role responsibilities include, but are not limited to -

  • Act as Workday SME, proposing and promoting solutions that consider a broad business angle ensuring the needs of all stakeholders are taken into account when designing system or process changes;
  • Proactively identify opportunities for future and current system enhancement to optimise the way Aesop uses Workday in HR, whilst also quantifying associated business benefits;
  • Reviewing and improving business-as-usual tasks within the system, in order to then enable optimisation to take place;
  • Analyses trends/data both externally (market) as well as internally (HR Business), offering insights to improve employee experience;
  • Aiming to improve user experience, this role is expected to partner with global stakeholders to analyse Workday insights and make data driven decisions;
  • Support and lead on the evolution of Aesop’s Year end and Reward planning cycle, to enhance current processes and governance within Workday, working in partnership with Reward and global team;
  • Facilitates communication between different global and regional projects, stakeholders and initiatives to ensure changes are made in alignment. Ensuring we avoid duplication of effort and able to identify, manage and mitigate all touchpoints;
  • Collaborate with HR, IT and Payroll teams, as well as 3rd party partners, to gather and document detailed requirements for system improvements and the development of new technology
  • Work closely with respective Subject Matter Experts to spot improvements and weaknesses (cost, quality, effectiveness, efficiency) in the current Workday system.
  • Co-own the delivery and prioritisation of Change Requests, gathering requirements, providing impact analysis and designing solutions.
  • Co-own and develop a governance framework for Change Requests and Data Governance;
  • Keep up to date with innovations and developments in Workday, bringing them back to the HRIS Team as user stories to build upon and validate. Partner with the HRIS Global Manager to support innovation delivery;
  • Support the HRIS Global Manager to develop and lead data cleanse sprints in relation to Personal Information and Governance. Triage with People Services and Audit to develop a data governance framework across Workday and Risk Management;
  • Articulate the potential benefits of Workday enhancements to internal partners (Centres of Excellence and wider teams), explaining benefits, process improvements and supporting the building of training materials;
  • 2nd and 3rd line support / escalation for system queries (where required)

This is a full-time position based in London, operating with a hybrid working pattern.

  • Understanding of HR strategies, policies, processes. Experience working within a HR function is desired;

  • Significant experience in end-to-end Change Request Management.
  • Experienced and adept in stakeholder management, with excellent interpersonal & communication skills
  • Demonstrable ability to anticipate and understand customer needs with strong customer service.
  • Experience within a global organisation is desirable
  • Workday subject matter expert in core modules. Workday certification and or training is beneficial.
  • Knowledge of other HR systems beyond Workday e.g., TA systems, workforce management is desirable.
  • Deep experience in HRIS products including Workday with deep experience in at least two module areas
  • EITHER experience of deployment of Workday with a service partner OR demonstrable skills across the Product Management life cycle, with experience BAU and Optimisation of Workday product with at least one customer.
  • Deep practical understanding of product management activities and driving improvements within the business.
