Job Title: Internal Sales Support and Operations Administrator

Reports to: Director
SUMMARY
This role is the heartbeat of our operation! a key role within the business, reporting into Co-Founder Steve Shaw this role will take responsibility and oversight of the After Sales and Customer Service functions. A customer facing role working with internal and external Warranty/Logistics/Supply Chain and Inventory functions to ensure seamless delivery and outstanding customer satisfaction. Remote work is cool but must have the ability to travel and attend customer site /warehouse / staff meetings and tradeshows when necessary.
Description of key tasks and responsibilities
Customer Service Responsibilities to include;
● All after sales communication with customer
o Keep customers in the loop after a sale
o Share updates on orders
o Juggle delivery dates like a pro
o Ensure all RAMS are good to go before delivery.
o Field every inquiry with grace and charm.
● Logging serial numbers
● Responding to all incoming warranty and service enquiries
● Ensuring all software systems for service are updated and reports can be extracted for meetings
● Overall responsibility and project management for all product installations
o Communication and responsibility for the co-ordination and delivery of all installations – directly liaising and updating the customer
o Chief point of contact for all subcontractors
o Wow the crowd with smooth communication across functions. Direct communication and liaison with other back office functions and customers to ensure seamless
co-ordination and execution of install to customer sign off.
Operational Responsibilities to include;
● Monitor and report on Operational KPI’s
● Communication and responsibility for the co-ordination of shipments of exports and imports of both inventory and orders – directly liaising and updating internal teams, warehouse and suppliers as and when required
● Communicate with the warehouses to ensure the product is ready and orders are moving out as planned
Others
● Other adhoc duties to cover staff holiday and absence
● Support the founders of the company with bookings, registrations, maintaining employee records and other business support administrative duties
QUALIFICATIONS
● Experienced user of SAP and CRM is desirable.
● Good knowledge and experience in using Microsoft Excel, Word and/or Google Sheets and Google Docs equivalents
● Bonus points for a Technical background, ideally in the fitness industry. Extra flex points :)
EXPERIENCE & SKILLS
The ideal candidate must show excellent of written and verbal communication skills., have Sherlock-level problem-solving skills, have strong analytic and problem solving skills to sufficiently address issues and solutions, even if the resolutions aren’t immediately obvious.
A strong track record in a similar fast paced customer facing role.
Flexibility is your middle name – organise, manage, and dazzle in the world of a remote team, scattered across the UK and beyond. The person should have a flexible approach to work and have the ability to organise and methodically manage a busy workload, updating systems and customers alike. The ability to work both solely and as part of a team is key especially as the team works remotely and at different locations across the UK. Suppliers are located in different countries, flexibility to work outside own time zone on occasions is a must.
