Job title: Lease Administrator
Department: Finance Operations

LOCATION: York House, London
REPORTING TO: Head of Property Accounting
TYPE OF CONTRACT: Permanent

THE ROLE
To ensure that the property/tenancy and supplier data held and maintained by british land is kept updated and accurate at all times. To undertake periodic audit and reviews of data to ensure that it remains current and ensure that any reports generated contain accurate information. To actively pursue information that is required for database maintenance.
WHAT YOU'LL DO
  • Liaison with British Land teams, solicitors and clients to obtain documentation to update the database
  • Update the British Land property management databases accurately and timely.
  • Verifying accuracy of property/tenancy data received from lawyers via workflow process to lease or other contractual documentation and manually entering data where necessary.
  • Verifying accuracy of supplier address and bank details via workflow process, prior to transfer to database.
  • Building effective working relationships with the wider teams
  • Extract pertinent information from source documentation to update systems
  • Provide reports from data to meet client reporting requirements
  • Effectively manage time to ensure that updates are processed in line with contract terms or no later than 5 working days from receipt
  • Maintain an update log and audit record of updates processed and changes made to the database
  • To provide any support necessary to the Head of Property Accounting.
  • Ensure compliance with British Land's policies and best practices.

ABOUT YOU
  • Knowledge of leases and associated documentation
  • Good understanding of invoicing to tenants
  • Attention to Detail
  • Strong Administration skills
  • Time Management skills
  • Working knowledge of Qube or other property management software systems.
  • Effective Communication
  • Intermediate Excel skills
