Proactive Personnel are currently recruiting for a Lettings Negotiator for a successful property developer. This role is to provide the right combination of marketing, sales and customer service support to source, qualify and secure prospective tenants for their buildings, whilst matching property requirements, arranging and conducting viewings and negotiate the rentals. You will work closely with the lettings and property team to progress through to move-in day ensuring correct process are followed. They work positively and proactively with the Property Services team and take pride in ensuring a warm, professional and friendly service to all incoming and outgoing tenants.
What you do
You strive to achieve excellence in negotiations and lettings services for our properties and contribute to positive customer experience for prospective tenants, whilst delivering an agreed number of lettings per month to ensure the building is fully occupied. You build good working relationships with staff and residents and help to ensure the smooth running of the building.
This role reports to the Head of Lettings and you are responsible for:
- Familiarising yourself with building layouts and apartment types, and phased completion dates (where applicable)
- Proposing and implementing ideas for promotion of our buildings in local area
- Being the first point of contact for prospective tenants
- Responding promptly and professionally to any tenancy enquiries on rental properties
- Providing all marketing material to prospective tenants, and follow up
- Building an understanding of a tenant’s letting requirements - area, budget, size of property, furnished/unfurnished, parking and pets
- Booking and managing appointments with prospective tenants
- Liaising with current tenants to arrange access to apartments
- Meeting and greeting prospective tenants and accompanying them on viewings promoting the merits of the apartments and building
- Checking property standards during viewings and highlight any anomalies to the Property Manager
- Negotiating rentals with support from the Head of Lettings as required
- Liaising with third parties such as reference agencies and deposit schemes.
- Explaining process and options to tenants to ensure understanding (reference, guarantor or payment in advance)
- Preparing necessary paperwork and updating portals
- Liaising with Property Manager and Lettings Administrator re tenancy turn around dates and tenants to arrange move in dates and times
- Maintaining effective records and entries into property portals
- Liaising with Lettings Administrator regarding issue of Tenancy Agreement
- Ensuring handovers complete to Lettings Administrator prior to move-ins
- Responding promptly to renewals and action with Administrator
- Working positively and proactively with the team to minimise complaints
- Supporting the lettings and property team during busy periods, sickness and holiday
- Providing regular updates to the Head of Lettings as required.
You may be required to carry out other duties to assist the team.
You have:
- Clear and comprehensive written skills and good numeracy skills
- Experience in a fast paced, customer facing role, with success in attracting, retaining and growing new customer relationships
- A track record of consistently meeting and exceeding targets (individual and team)
- Proficiency in Office software for emails and data entry, ideally database software/deposit schemes and be quick to learn in-house systems and procedures
- An understanding of excellence in customer service
- Commercial awareness and an understanding of the principles of negotiation
- Efficient diary management skills
- Meticulous attention to detail in written comms and record keeping
- The ability to listen and communicate clearly and confidently with colleagues, visitors and tenants
- Good organisation skills to ensure all tasks are completed and records kept correctly
- The ability to use your own initiative to identify and prioritise tasks (know what is urgent vs important)
- Experience of working quickly and efficiently, multi-tasking and working to deadlines
- Proven ability to handle challenging situations calmly and respectfully, whilst remaining focused under pressure.
