Job description
Total Staff Services are currently recruiting a Maintenance Administrator for one of our clients based in the Wirral. The purpose of this role will be to support the Maintenance Coordinator with day-to-day running of all maintenance contracts as well as ensuring full compliance in relation to administrative duties. All relevant inhouse training will be given on site however, experience within a similar role would be advantageous.
Working Hours: Monday to Thursday (Apply online only), (Apply online only) on Friday.
Salary: £21-£23k dependent on experience (Salary uplifts in line with the national minimum wage in April).
Key Responsibilities:
Answering telephone calls within the Maintenance department.
Raising jobs on the inhouse system.
General administrative duties, such as sending out scanned work and check sheets to clients.
Creating site manuals and audit to ensure they are compliant.
Obtain client purchase orders.
Raise purchase orders for suppliers and sub-contractors.
Ensuring all paperwork from sub-contracts is submitted.
Ensure all site pre-attendance documentation is in place.
Arrange site inductions.
Scheduling large maintenance contracts alongside the maintenance coordinator.
Assisting with raising and sending maintenance visit invoices to clients both per visit and monthly.
Requesting order numbers for visits as and when required.
Booking accommodation for engineers and allocating correct cost of jobs.
Ensuring all expenses and paperwork are correct.
Obtaining supplier quotations.
Upkeep and monitoring of Client Asset Registers.
Cross referencing job sheets against asset register to ensure all assets have been maintained during the service.
