A busy private medical clinic is seeking a keen and enthusiastic individual to join our office and enjoy being part of a small and greatly valued team. Must be able to work on own for various shifts. This job would suit an individual who has previous admin/secretarial experience. We are looking for someone available 30 hours per week, this includes a Saturday. Flexibility is also needed to cover holiday/sickness. Full training and support given. Private Health Insurance offered.
Shifts as below:
Monday 12pm to 7:00pmTuesday 8:30 to 4:30pm Friday 08:30 - 4:30pm Saturday 08.30 - 12.30pm
Hourly Rate: £11.88 - increase after successful 3-month probation to £12.50
- Providing an efficient and effective reception service; answering phone calls, taking messages, returning calls where required. Greeting patients on arrival and informing associates of their arrival.
- Taking card/cash payment for sessions from patients and sending receipt if needed to patient.
- Having extensive knowledge of the services, the clinic and doctors offer, in respect of assessments, pricing. Understanding patients' needs/requirements to make it an easy transition into therapy.
- Maintaining patient confidentiality and data protection.
- Responsible for opening and closing the clinic.
- Chasing outstanding information, emails, or documents.
- Holiday/sickness cover for other team members.
- Formatting of reports and letters, distributing to patients and GP's when required in accordance with the instructions of the doctors.
- Liaising with patients, for the purpose of booking and confirming appointment times and details.
- Dealing with incoming patient referrals.
- Sending out appointment details to patients, obtaining all the correct paperwork, registration forms, consent forms etc.
- Liaising with associates by phone, emails to manage queries, appointment changes, and diary management.
- Monitoring and responding to incoming emails from patients and associates.
- Ongoing diary management, making sure all slots are filled for all associates.
- Keeping the practice well presented.
- Managing the portal, including diary, document recording, waiting list and cancellation list.
- Sending patient invoices to AXA to be processed.
- Attending quarterly team meetings.
- In addition to the main daily responsibilities above there may also be some ad hoc duties which will be required of you.
