Job Description
You'll be joining a brand-new mental health service, Oaktree Manor, which is opening early 2024, Working 37.5 hours a week, where you will be responsible for providing efficient administrative and secretarial support to the RC and Associate Members of the Medical Team.
From managing the Consultant Psychiatrists diary, planning meetings and arranging travel arrangements to drafting correspondence and managing clinical records, you will be able to turn your hand to any admin related task.
As a Medical Secretary, you will be responsible for preparing and sending out weekly reviews from the information from the CPAs and MDT Meetings to the relevant external professionals and service users relatives.
Your responsibilities will include:
- To provide a high standard of secretarial support both understanding and demonstrating the appropriate need for discretion and confidentiality relating to all patients.
- To establish a good working relationship with clinical and professionals involved in patient care.
- Dealing with day-to-day correspondence for the members of the medical team and action as required.
- Processing of reports requiring a high level of accuracy and good presentation.
- To make appointments and maintain diaries as and when required by the medical team.
- To maintain an effective filing system as and when required.
- Scanning and photocopy of all related documents.
- Secretarial support including typing of: Letters, Emails, Forms, Reports, Minutes, General Correspondence, Photocopying for Doctors/Associate Specialists/Consultant Psychiatrists.
- Weekly audit of successful submission of Ward Round summaries and CPA reports as per schedule.
To be successful in this role, you'll need:
- Excellent secretary & IT skills with a strong level of proficiency for the standard range of Microsoft Office applications such as Word and Excel
- Experience within a similar role and/or environment
- Exceptional organisation, reception and clerical skills and be able to demonstrate audio typing ability
- An understanding of medical terminology is desirable
- Experience within an administrative, customer service, clinical or another appropriate background
