Modern Slavery Response Finance & Operations Coordinator
Responsible to: Service Manager
Location: London
Salary: £12.03 per hour
Contract: Monday to Friday 9am-5:18 pm
Finance Monitoring
- Monitoring and reviewing month end expenses for staff (circa 150) and service users (circa 1800)
- Manual adjustments for any finance amendments out of month
- Facilitating weekly subsistence onto pre-payment cards for 1800 service users
New Client Referrals
- Assessing and accepting new client referrals 9-5 Mon-Fri
- Maintaining a client book with detailed and up to date information for each client (circa 1800 clients)
- Assessing referrals per location, capacity, level of need and allocating to most appropriate advocate
- Allocating new client referrals to advocates with the contractual deadline of 48 hrs
- Consistently monitoring advocate caseload, capacity and needs within individual teams
- Monitoring KPls for all new client referrals (17 KPls)
New Staff Members
- Setting up new starters on all relevant systems, which involves liaising with central services
- Arranging IT devices & personal lone worker devices for all staff
Account Management
- Regular communication and account management with the Salvation Army, Interpreting Services, Lone
Worker Device provider, Taxi provider
- Monthly meetings with pre-payment card provider
Data collection and reports
- Collating data and creating reports for managers and directors; including capacity reports, stats for vaccines and fortnightly COVID report
- Submitting daily case decision reports
- Monthly case study submissions
Redactions
- Redacting service user files with strict deadlines
Internal communications
- Monitoring 2 high traffic inboxes with queries relating to finance, new clients, training guidance and external requests
Training and Guidance
- Weekly drop in sessions for the team
- Regular support for advocates and managers on matters including but not limited to; payment issues, log ins, monthly report errors, missing invoices, system and devices activation
Office Responsibilities
- Managing office spaces; Maya House, Brentford, Croydon, Tooting
- Participating in weekly office rota, covering office 5 x per week
- Oversight of the stock and supplies of all office equipment, and arranging cleaning
