Job: Office Administrator
Job Description - The Office Administrator is a supportive link for all areas, within our organisation. The ideal candidate for the role must be a flexible problem-solver with fantastic communication skills and a detail-oriented mindset. This person should have experience thriving in an administrative role. Effective multitasking and a unique ability to handle the unexpected are essential qualifications for the position.
Responsibilities: Office Administrator has the following responsibilities and duties in our company:
· Perform a variety of administrative duties, such as generating company documents, forms, and spreadsheets using Word and Excel.
· Processing of laboratory certificates received back; this includes reviewing the results, inputting the data on our in-house system, distributing to the client, and upload to our in-house portal.
· Creating and distributing cleaning certificates for work that has been carried out on-site; this includes tank cleaning and cooling towers.
· Processing chemical order requests from customers, including ordering, informing the client of the delivery, and arranging transportation.
· Support the admin team with the inputting of all pre-planned maintenance contracts on Job Logic
· Support the admin team with the inputting of all remedial, ad hoc and call-out work on Job Logic
· Processing of documentation that has been generated on job logic, and loading the information onto our inhouse electronic portals.
· Answer all incoming calls and distribute them to the relevant staff member.
· Update spreadsheets used by the office manager, compliance manager, scheduling team, field engineers, and other departments where required.
· Responsible for monitoring office supplies and ordering when required.
· Support the scheduling team when required, including booking of workload, any changes and updates that may occur.
· Support the finance team when required.
Qualifications: Office Administrator should have the following skills, education, and experience:
· Proven success in Office Administration
· Excellent written and verbal communication skills.
· Strong time management and ability to multitask as the role requires.
· Proficiency with office applications, and aptitude for learning new software and systems.
Ability to maintain confidentiality of company information.
Hour are Tuesday – Friday 09:30am-14:30pm
Pension – Company Pension Scheme

Pay: £12.00 per hour
